Requirements

  • 3–5 years of professional experience in administrative, executive support, office administration, or a related role.
  • Strong administrative and/or executive support background.
  • Experience managing calendars, meetings, travel, documentation, and competing priorities.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and follow-through.
  • Ability to work independently while collaborating effectively with others.
  • Proficiency with Microsoft Office.
  • Professionalism, sound judgment, and discretion when handling confidential information.
  • Ability to adapt quickly and remain organized in a fast-paced environment.

Nice To Haves

  • Experience supporting executive leadership.
  • Experience within finance, financial services, fintech, banking, wealth management, or a related industry.
  • Experience working in a high-growth or entrepreneurial environment.
  • Experience with Salesforce or another CRM platform.
  • Experience with DocuSign and project management software such as Asana, ClickUp, Monday.com, or Jira.

Responsibilities

  • Provide administrative support to executive leadership.
  • Help ensure the day-to-day needs of the office and broader organization are handled efficiently.
  • Manage executive calendars, scheduling, travel arrangements, and meeting coordination.
  • Coordinate internal and external meetings, including preparing agendas and tracking follow-up items.
  • Manage executive expense reports, invoices, and administrative documentation.
  • Assist with office operations, vendors, facilities, supplies, and equipment.
  • Organize company meetings, events, and team activities.
  • Support new hire onboarding and employee logistics.
  • Maintain business records, documentation, and digital filing systems.
  • Coordinate document execution using DocuSign and other business platforms.
  • Prepare presentations, spreadsheets, reports, and executive communications.
  • Track deadlines, meetings, and administrative deliverables.
  • Coordinate with teams across the organization to support day-to-day business needs.
  • Assist with special projects and other administrative priorities as needed.
  • Maintain confidential business information with professionalism and discretion.
  • Identify opportunities to improve organization and administrative processes.
