About The Position

The Business Operations & Human Resources Manager manages the Association’s human resources administration, payroll and benefits coordination, office operations, technology administration, insurance administration, risk management records, and internal business support systems. This position supports staff, strengthens operational efficiency, promotes regulatory compliance, and helps maintain a positive organizational culture through consistent administration of policies, procedures, systems, and programs.

Requirements

  • Knowledge of human resources administration, employment practices, benefits administration, payroll processes, personnel records management, and compliance.
  • Knowledge of general business operations, office administration, vendor management, and organizational support functions.
  • Knowledge of technology administration, software licensing, cybersecurity awareness practices, and information management systems.
  • Knowledge of insurance administration, claims processing, risk management principles, and document retention practices.
  • Strong organizational, analytical, problem-solving, and project management skills.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Ability to manage multiple assignments, competing priorities, and deadlines.
  • Proficiency with Microsoft Office Suite, HRIS platforms, payroll systems, document management systems, communication systems, standard office equipment, and related business software.
  • Ability to work independently while collaborating effectively with staff, management, consultants, vendors, and Board members.
  • Ability to support and promote the Association’s Vision, Mission, and Core Values.
  • Ability to sit, stand, walk, bend, stoop, and perform routine office tasks.
  • Ability to lift and carry office supplies, equipment, and materials up to 25 pounds.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
  • Ability to maintain regular attendance and work occasional evenings or weekends as required for meetings, events, training, or special projects.
  • Valid driver’s license and access to reliable transportation.

Nice To Haves

  • Bachelor’s degree in Human Resources, Business Administration, Public Administration, Organizational Management, or a related field.
  • Five or more years of progressively responsible experience in human resources, business administration, office management, or community association management.
  • Human Resources certification, such as SHRM-CP, PHR, or equivalent, preferred.
  • CAI membership and involvement preferred.
  • CMCA, AMS, or other industry-related designation preferred.

Responsibilities

  • Manage human resources administration, including recruiting, onboarding, employee records, benefits coordination, employee relations support, retention initiatives, personnel documentation, and offboarding.
  • Maintain personnel policies, employee handbook updates, HR forms, personnel files, training records, certifications, and compliance documentation.
  • Monitor and support compliance with applicable employment laws, Association policies, records retention requirements, confidentiality expectations, workplace safety practices, and administrative procedures within assigned areas of responsibility.
  • Coordinate payroll administration, including timesheets, leave tracking, employee status changes, benefits deductions, and communication with payroll and benefits vendors.
  • Coordinate employee training, professional development programs, certifications, safety training, and required compliance training.
  • Oversee day-to-day office operations, including office equipment, phones, copiers, postage systems, supplies, office vendors, and administrative support functions.
  • Administer Association technology systems, including hardware and software inventories, licensing, renewals, user access management, cybersecurity training coordination, vendor coordination, and technology replacement planning.
  • Coordinate Association insurance programs, including policy administration, certificates of insurance, renewals, claims documentation, incident reporting, risk management records, and related reports for internal and external review.
  • Support annual budgeting and financial administration for assigned business operations, including tracking administrative expenses, reviewing invoices, monitoring renewals, maintaining vendor contract documentation, and preparing budget-related information for the General Manager.
  • Develop, maintain, and improve administrative procedures, forms, templates, records management practices, and standard operating procedures.
  • Assist with organizational planning, business administration, process improvement initiatives, special projects, and cross-departmental coordination as directed by the General Manager.
  • Provide guidance, training, and coordination to administrative support staff or assigned team members as directed, including helping establish priorities, documenting procedures, supporting accountability, and promoting consistent service standards.
  • Support clear communication, consistent administrative practices, employee engagement, process improvement, and alignment with Brambleton’s mission, goals, and service standards.
  • Provide backup support for front-office operations and resident service functions as needed.
  • Maintain required licenses, certifications, and continuing education applicable to the position.
  • Perform other duties as assigned.
