About The Position

This position is located within the Director’s Office of the Division of Condominiums, Timeshares and Mobile Homes. This position is a part of the administrative assistant team and is responsible for the administrative functions in the office.

Requirements

  • Two (2) years of relevant experience in customer service and administrative functions.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively to members within and outside of the organization.
  • Good writing and reading comprehension.
  • Customer service oriented.
  • Good with time management and coordination.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to prepare correspondence and administrative reports.
  • Proficient in the use of technology including software, hardware, and data systems.
  • Knowledge and the ability to apply Florida Statutes, rules and procedures for licensing of professionals.

Responsibilities

  • Answering telephones and routing calls to the appropriate staff members, serving as telephone backup for the Bureau of Compliance main telephone line, scheduling appointments, organizing, filing and maintaining paper as well as electronic files.
  • Interface with the public and will help provide pertinent information to callers.
  • Compile and maintain various reports and records for the FEA and IS supervisors.
  • Review consumer complaints routed in the Department's Document Imaging System, open compliance cases in the Department's Licensing System, and assign complaints to the appropriate staff members.
  • Provides general information to the public as a result of telephone, written and in-person inquiries.
  • Assist with hiring packages for new staff members including, but not limited to, scheduling interviews and work samples, collecting documents from the applicants, compiling documents and information for the hiring package, and forwarding documents to the Division HR Liaison.
  • Arrange travel schedules and reservations as well as help maintain the calendar(s) and coordinate meetings for the Deputy Bureau Chief.
  • Performs other related work duties as required.
