About The Position

The Administrative Assistant provides administrative and operational support to the External Relations team. This position serves as a central point of coordination for departmental activities, including scheduling, communications, purchasing, meeting and event logistics, records management, travel coordination, and general office administration.

Requirements

  • Proficiency with Microsoft Office Suite.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • High attention to detail, accuracy, and confidentiality.
  • Ability to work independently and collaboratively within a team.
  • Associate’s degree in business administration, legal studies, or related field; or equivalent combination of education and administrative experience.
  • Minimum 3 years of administrative support experience.
  • Valid Oklahoma driver’s license, or the ability to convert within 30 days for those with an out of state driver’s license that are an Oklahoma resident.

Nice To Haves

  • Knowledge of legal documentation and terminology, preferred.

Responsibilities

  • Provide day-to-day administrative support for staff within a department(s).
  • Prepare, edit, and proofread correspondence, reports, presentations, and legal documents, ensuring accuracy and compliance with company standards.
  • Assist with tracking deadlines, permits, and compliance obligations, as required by the department.
  • Maintain and organize electronic and hard-copy files, ensuring accurate recordkeeping and document retention in accordance with company and legal requirements.
  • Support the preparation of reports, filings, and submissions to ensure compliance.
  • Assist staff with purchasing and procurement matters to support effective management of contracts for required services.
  • Coordinate with internal departments and external partners to facilitate information flow.
  • Coordinate travel arrangements, conference registrations, and expense reporting.
  • Manage calendars, schedule meetings, coordinate appointments, and organize meeting logistics.
  • Coordinate department purchasing activities, including purchase requisitions, purchase orders, invoices, and vendor communications.
  • Coordinate meetings, employee events, community outreach activities, and other department-sponsored events.
  • Perform other duties and responsibilities as assigned.
