About The Position

As our Marketing Project Manager, you are the operational backbone of the Insomnia Cookies marketing organization. You keep campaigns moving, calendars honest, and teams aligned across every initiative, from LTO launches and Cookievation drops to seasonal brand moments and new market openings. This role sits at the center of a fast-moving marketing org, supporting the CMO and both the Brand and Integrated Marketing and Digital Marketing teams. You're not just tracking tasks, you're anticipating bottlenecks, flagging risks before they become problems, and making sure nothing slips through the cracks between strategy and execution. You'll own Asana as the single source of truth for the marketing org, build and maintain the integrated campaign calendar, and serve as the primary point of coordination between internal teams, external agencies, and cross-functional partners. Requirements

  • 3 to 5 years of experience in marketing project management, agency operations, or a similar coordination-heavy role
  • Asana expertise is required. You know how to build projects, set up workflows, manage dependencies, and use reporting views to give leadership a real-time picture of the org's work
  • Experience managing complex, multi-workstream marketing calendars across brand, digital, and creative teams simultaneously
  • Strong budget management skills, including tracking spend, managing vendor invoices, and flagging variances
  • Proven ability to manage agency and vendor relationships at the day-to-day operational level
  • Exceptional organizational skills and an instinct for anticipating problems before they escalate
  • Comfortable working across a range of stakeholders, from creative teams to the CMO, and translating between strategic direction and tactical execution
  • Restaurant, retail, or consumer brand experience strongly preferred. You understand the pace and the stakes when an LTO launch has a hard date

Nice To Haves

  • PMP certification is a plus but not required. What matters is your track record of shipping complex projects on time
  • Bachelor's degree in Marketing, Business, Communications, or a related field preferred

Responsibilities

  • Own end-to-end project management for all marketing initiatives, from creative brief through launch and post-mortem, across Brand, Digital, and CMO-led programs
  • Build and maintain detailed project plans in Asana, setting milestones, assigning tasks, and tracking progress across all active workstreams
  • Run weekly marketing team syncs, maintaining a clear view of what's on track, what's at risk, and what needs a decision
  • Own and maintain the integrated marketing calendar across LTO launches, Cookievation drops, seasonal moments, partnerships, CRM sends, and paid media flights
  • Ensure all teams, Brand, Digital, Creative, PR, Social, and Influencer, are operating against a single synchronized calendar with no conflicting timelines or missed dependencies
  • Flag sequencing conflicts and work with the Directors to resolve them before they impact delivery
  • Build comprehensive project timelines and ensure all stakeholders have clarity on their deliverables, deadlines, and dependencies
  • Proactively identify resourcing gaps or capacity issues across internal teams and external agencies, and escalate to the CMO or relevant Director when timelines are at risk
  • Manage the intake process for new marketing requests, scoping work and prioritizing against the existing calendar
  • Track and reconcile marketing budgets across campaigns and vendors, maintaining an up-to-date view of spend versus plan
  • Manage vendor contracts, SOWs, and purchase orders, and flag budget variances before they become overruns
  • Partner with Finance on budget forecasting and monthly reconciliation
  • Serve as the day-to-day operational point of contact for creative, PR, media, and other marketing agencies, ensuring deliverables are briefed, tracked, and delivered on time
  • Manage asset trafficking between internal teams and external partners, keeping creative reviews, approval cycles, and revision rounds on schedule
  • Maintain a master vendor contact list and ensure all contracts and NDAs are current
  • Serve as the central coordination point between Brand, Digital, Creative, Operations, Culinary, and Finance teams for all marketing-adjacent workstreams
  • Ensure all marketing deliverables are reviewed, approved, and routed correctly before going live
  • Surface the right decisions to the right people at the right time, keeping senior leaders focused on strategy rather than status updates
  • Coordinate international marketing initiatives and communication with Canadian and UK business teams
  • Build and maintain campaign status dashboards in Asana, giving the CMO and Directors a real-time view of all active and upcoming initiatives
  • Run post-mortems on major campaigns, capturing learnings on timeline, budget, and process to sharpen future execution
  • Track recurring reporting deliverables across the marketing org and ensure they're completed and distributed on schedule
