About The Position

We are seeking an experienced Executive Assistant to provide high-level administrative support to our leadership team. The Executive Assistant will play a critical role in supporting designated leaders by performing a wide range of administrative and operational duties requiring judgment, initiative, and knowledge of office functions. This position is responsible for ensuring seamless day-to-day operations, delivering excellent service, and fostering strong relationships with both internal and external stakeholders.

Requirements

  • High School Equivalency with 8 years of administrative/secretarial experience including previous executive level experience.
  • Or Associate's Degree with 5 years of administrative/secretarial experience including previous executive level experience.
  • Or Bachelor’s Degree with 2 years of administrative/secretarial experience including previous executive level experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with calendar management skills, including the coordination of complex executive meetings.
  • Experience with budget tracking, expense management, and fiscal reconciliation.

Responsibilities

  • Perform designated support duties with a high degree of judgment, initiative, and professionalism.
  • Provide excellent quality service and maintain effective working relationships with internal and external customers.
  • Manage purchasing, reconcile company credit card transactions, allocate expenses to appropriate budget cost centers, and create accurate expense reports.
  • Assist others in troubleshooting fiscal processes.
  • Prepare, distribute, and track meeting agendas and materials.
  • Attend meetings, take detailed minutes, and transcribe them within three business days, including follow-up on action items.
  • Draft, edit, and produce correspondence, presentations, charts, reports, and other professional documents for Leaders.
  • Maintain both electronic and paper filing systems.
  • Monitor and manage deadlines, priorities, and communications for assigned Leaders.
  • Screen and direct phone calls, emails, mail, and faxes to the appropriate individuals within the organization.
  • Secure signatures on contracts, agreements, and other documents as required.
  • Coordinate and assist with onboarding new departmental Leaders and team members, ensuring timely access to resources, files, tools, and technology.
