About The Position

This recruitment will be used to fill one part-time (a maximum of 24 hours per week) ASOSU Records Clerk for the ASOSU at Oregon State University (OSU). The ASOSU Records Clerk serves as an Independent Office of the Executive Branch to record minutes and facilitate proceedings of the Student Senate, Student Fee Committee (SFC), Judicial Council (JC), and other bodies and offices of the Associated Students of Oregon State University (ASOSU).

Requirements

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
  • Must be a Corvallis campus-based student.
  • Maintenance of good academic and conduct standing and a cumulative and prior term 2.0 GPA.
  • Commitment to promoting and advancing diversity and creating an atmosphere of inclusion for all students and community members.
  • Communication skills in areas including but not limited to interpersonal, public speaking, digital, verbal, and written communications.
  • Organizational skills, including managing time and working accurately with interruptions to meet a deadline; delegating tasks, when applicable.
  • Working well under pressure, exercising flexibility, initiative, good judgment, and discretion.
  • Willingness to be adaptable, to accept changes and try new things.
  • Ability to work independently as well as in a team.

Responsibilities

  • Record and maintain minutes and agendas approved at the public meetings of the ASOSU Senate, SFC, and JC, subject to revision and approval by these bodies.
  • If requested by any of the above bodies, minutes may be accompanied by a computer-generated transcript of the meeting, including any edits for accuracy deemed necessary by the clerk (at the discretion of the clerk; manual review of the transcripts is not a requirement).
  • Meeting minutes shall include a list of members of the body and their attendance, principal subjects considered, motions of members, and vote totals and outcomes.
  • Summaries of reports or debate are not strictly required, and where included, are advised to be brief and avoid directly attributing paraphrased statements in a manner that could be interpreted as a form of direct quotation.
  • Minutes are not considered finalized until approved by their respective bodies.
  • Make a good-faith effort to attend all regularly scheduled meetings of the ASOSU Senate, SFC, and JC, and except in the event of emergency, provide advance notice of absence due to infrequent conflicts of schedule or available hours.
  • Other activities reasonably related to the records and archival duties of the position.
  • Track the status of Student Senate legislation and ensure it is forwarded to the correct body leaders upon passage.
  • Upon being signed into effect or vetoed, ensure all legislation is sent to the Archivist.
  • Ensure the ASOSU President’s timely receipt of documents subject to the signature or veto of the president.
