In this position... Perform as subject matter expert, directly responsible individual, and implementation owner for multiple vehicle fleet operation tasks. Independently develop, lead, and train others on future enhancements and efficiencies of fleet operations. Own or provide support for all vehicle fleet operations to include but not limited to the following areas: vehicle ordering, delivery, service, billing, insurance, ticket/citation/toll processing, titling/registration, compliance, disposal, purchase processing, employee purchase programs, and customer service. This fast-paced role will require ownership to shape the future of fleet operations while collaborating closely to achieve personal, team, management, and corporate objectives.

Requirements

  • Bachelor’s degree or equivalent combination of relevant education and experience.
  • 1+ years’ Experience using mainframe applications
  • 2+ years’ Experience using web system applications
  • 5+ years ex Proficient in MS Office (i.e. Outlook, Word, Excel, PowerPoint)

Responsibilities

  • Administer company vehicle fleet insurance policies: Plan and execute all aspects of the annual insurance policy renewals with internal and external business partners from our insurance company, insurance agency, corporate insurance, and the multiple systems teams
  • Maintain all cards and processes with legal, tax office, corporate insurance, government offices, dealers and vendor relationships (both manual and system generated)
  • Review, develop, and revise certifications and verifications processes to align with constantly changing government regulations
  • Own oversight of fleet used vehicle purchase programs: Ensure policies and processes, internally and with external vendor(s), remain current and efficient
  • Ownership for the purchase order processes for any vendor operation that supports the used fleet purchase programs
  • Provide end-to-end on policy and process revisions with various stakeholders including vendor(s), remarketing, and the multiple systems teams
  • Coordinate fleet operations involvement in accounting and finance to support customer experience while avoiding negative financial impact to the fleet programs: Spearhead manual billing for projects, pilots, subsidiaries
  • Deliver processes and policies for participant fee deductions and credits
  • Interface with the accounts receivables team for participant payments, fees, expenses, etc. to provide guidance and troubleshoot issues, particularly when fleet operations direction is needed to establish policy or drive consistency
  • Connect fleet operations with multiple teams: legal, fleet system accounting, customer accounts receivables, accounts payable, finance, asset accounting, subsidiaries, etc.
  • Identify, lead, and implement enhancements for finance and accounting of the fleet
  • Evaluate, organize and coordinate cross functional support requests outside of the operation of the fleet programs relative to the vehicle fleet: Utilize rigor, discipline, clarity and a problem-solving mindset for management of other department’s request
  • Collaborate with appropriate priority level while ensuring operational requirements are met while supporting non-standard fleet utilization
  • Manage requests with a holistic view to ensure that action nor time are spent on work which distracts from delivering the biggest impact
