About The Position

This position provides administrative support for the Traditional & Cultural Services (TCS) department. The Administrative Assistant is responsible for making travel arrangements, managing schedules, maintaining records and inventory, handling communications, preparing documents, and coordinating meetings and special projects. The role requires a high level of organization, accuracy, and confidentiality, with a focus on supporting the Traditional Healer Supervisor and staff.

Requirements

  • Two (2) years of direct work experience in an office administrative environment.
  • Associate’s Degree in Business Administration or related field.
  • Valid, unrestricted, insurable driver’s license.
  • Resume and references are required.

  • Navajo/Indian Preference: Applicants who meet minimum qualifications and are enrolled members of the Navajo Nation will be given primary preference. Members of other federally recognized Indian tribes will be given secondary preference.

Responsibilities

  • Makes travel arrangements for the Traditional Healer Supervisor and Traditional Healer/Counselor staff.
  • Prepares and submits travel vouchers, including accurate computation of reimbursable expenses.
  • Coordinates travel and types itineraries.
  • Handles scheduling of outpatient and inpatient Traditional Intervention for TCS staff.
  • Maintains records for managing and keeping inventory of assets and supplies for TCS.
  • Ensures timely and accurate status of resources or inventory, charging correct accounting codes, verifying object class codes, and identifying/justifying purchases/services.
  • Compares requests for funds with account balances to assure funds are available.
  • Handles calls from internal and external sources efficiently and accurately.
  • Screens calls, receives visitors, and refers them to appropriate staff.
  • Responds to inquiries for general information, completes copier projects, handles mail, and manages supply control.
  • Provides call backs and reminder calls for patients scheduled for Traditional Intervention.
  • Types correspondence, including letters, memos, forms, policies, and procedures, handling confidential information.
  • Documents and corresponds in a timely and accurate manner.
  • Reads incoming correspondence, determines proper action, and prepares answers.
  • Reviews outgoing correspondence and reports for proper format, correctness, and adherence to policy.
  • Maintains meeting attendance files and generates reports.
  • Maintains vendor, contract, maintenance agreement, and copyright files, ensuring accuracy, timeliness, and security.
  • Works independently or within a team on special projects, such as quality process improvement.
  • Coordinates and plans for conferences, meetings, and workshops.
  • Prepares materials for meetings and transcribes minutes.
  • Acts as project manager for special projects, including planning presentations, disseminating information, and organizing events.
  • Performs other duties as assigned.
