As a Health Information Management (HIM) Team Lead, you will play a vital role in coordinating daily HIM workflows, supporting staff development, and ensuring the timely, accurate, and compliant management of health information to support our patient-focused organization. A day in the life of a HIM Team Lead involves performing core HIM responsibilities while providing day-to-day workflow coordination, training support, and resource guidance for the Health Information Management Department. The HIM Team Lead assists with prioritizing work, supporting staff questions, monitoring departmental workflows, and ensuring health information documentation is processed accurately and efficiently. Responsibilities include coordinating release of information requests, scanning and indexing medical records, requesting records from outside facilities, managing fax server workflows, routing documentation, supporting referral-related processes, coordinating FMLA and disability paperwork, and assisting with deposition-related requests. The HIM Team Lead also works closely with providers, clinical teams, outside facilities, and patients to resolve documentation issues and support efficient workflow completion. Success in this role requires strong organizational skills, attention to detail, knowledge of electronic medical record systems, the ability to manage multiple priorities in a fast-paced environment, and a commitment to maintaining compliance with HIPAA and other applicable regulations. The HIM Team Lead also assists with onboarding, training, cross-training, workflow education, and continuous process improvement efforts to enhance departmental operations and team performance.

Requirements

  • High school diploma or equivalent required.
  • Prior experience working within an Electronic Medical Record (EMR) system required.
  • Strong knowledge of HIM workflows, including release of information, scanning and indexing, document routing, fax server management, referral documentation, outside record requests, FMLA/disability paperwork, deposition scheduling, and EMR document management.
  • Strong organizational skills with a high degree of accuracy and attention to detail.
  • Ability to work independently, prioritize responsibilities, meet deadlines, and manage multiple tasks in a fast-paced environment.
  • Ability to assist with staff training, coaching, workflow education, and cross-training initiatives.
  • Excellent computer skills, including proficiency with Microsoft Office applications, EMR systems, document management tools, and electronic release of information processes.
  • Excellent interpersonal, customer service, written, and verbal communication skills.
  • Knowledge of HIPAA Privacy Rule requirements and minimum necessary disclosure standards.
  • Ability to support workflow coverage and adapt to changing departmental and organizational needs.

Nice To Haves

  • Minimum of three (3) years of medical office experience and/or experience working in a Health Information Management Department preferred.
  • RHIT certification or previous lead experience in a Health Information setting preferred.
  • Medical terminology knowledge and/or education preferred.
