About The Position

Virgin Galactic is seeking a Receptionist to provide excellent customer service and administrative support to our front office and team on site. When guests arrive, we want them to find a friendly smiling face. The ideal candidate has strong communication skills, a positive attitude, and a strong work ethic. They should be able to remain calm under pressure, have the ability to perform a wide variety of administrative support functions, and work well with others.

Requirements

  • Requires a high school diploma or equivalent.
  • 1-2 years of relative experience or associate degree.
  • Microsoft Office Suite to include Word, Excel, PowerPoint, Outlook, Visio, and OneNote.
  • Strong communication skills both verbally and written.
  • Strong teaming and collaboration skills that foster office unity and cohesiveness in support of VG goals, mission, and standards.
  • Ability to build strong business relationships with other functional areas to best support mutual objectives.

Responsibilities

  • Greet visitors warmly and provide hospitality that exemplifies the Virgin values. Connect them with the appropriate party.
  • In partnership with security, provide support to reception area. Ensure that facility security and visitor control requirements are met.
  • Liaison with IT and facilities to ensure site needs are met.
  • Assist with incoming and outgoing mail.
  • Provide an organized and stocked workspace including refreshments and maintaining inventory of office supplies for the site.
  • Handle food or catering orders for meetings and events.
  • Support the planning, organization, and execution of events (team, department, company-wide).
  • Support on site tours or meetings as needed including preparation, coordination, and execution.
  • Enter and manage purchase requisitions in ERP system (Oracle).
  • Prepare expense reports.
  • General clerical duties such as data entry, faxing, record keeping.
  • Create, modify and proofread documents such as reports, memos, letters, and presentations using advanced Outlook, Microsoft Excel and Word skills.
  • Have oversight and provide support as needed for desk assignments, conference room maps, and conference room calendars utilizing the corresponding software.
  • Support staff in assigned project‐based work as required; other duties as assigned including covering for other administration staff when required.
