About The Position

Assists the Lakewood City Clerk’s Office with a variety of duties to support the City’s regulations and licenses set by Lakewood City Council. This position is primarily office based and is responsible for licensing administration, customer service, inspection coordination, and regulatory compliance activities. Duties include managing assigned licenses, coordinating and conducting inspections investigations, and enforcement actions, and collaborating with the Variable Licensing Inspector (VLI) and other City departments to ensure compliance with applicable laws, regulations, and licensing requirements. The position also provides support for front office operations and may perform field work as needed.

Requirements

  • Solid skill and ability to exercise initiative and judgment as well as making decisions within the scope of assigned authority.
  • Ability to demonstrate ethics and integrity by being truthful, honest, trustworthy, and accountable for words and actions; able to demonstrate considerable tact, discretion, and confidentiality.
  • Ability to communicate with a wide variety of populations; including citizens and staff; in-person and by telephone using tact and diplomacy.
  • Ability to provide excellent customer service to the public and staff with the expectation of generating a positive interaction with the City Clerk’s Office.
  • Ability to maintain confidentiality while working with sensitive issues and private information.
  • Great attention to detail and ability to handle multiple tasks.
  • Ability to maintain positive, professional and collaborative interactions with team members.
  • Must be able to communicate and work effectively with co-workers, supervisors, and the public in a courteous and constructive manner.
  • Background check required.
  • Ability to use Microsoft Office Suite to include Word, Excel, Outlook, and Power Point
  • High school diploma or equivalent.
  • One or more years working in an office environment with a strong emphasis on customer service.
  • Experience with onsite inspections for code enforcement and the process to resolve/address violations.
  • Must have a valid driver’s license and good driving record.

Nice To Haves

  • Ability to type at least 40 wpm, preferred.
  • Some college coursework preferred.
  • Experience working with Laserfiche records storage system is preferred.
  • Municipal government experience is preferred.

Responsibilities

  • Responsible for the administration and oversight of assigned licenses including but not limited to massage businesses and non-cigarette tobacco licenses.
  • Responsible for assisting front office staff with in-person customer support and customer phone calls.
  • Provide licensing support to other staff members for various licenses administered by the City Clerk’s Office, including but not limited to liquor, marijuana, adult businesses, and short-term rentals.
  • Works collaboratively with the VLI to foster effective communication and coordination among internal departments, external agencies, businesses, and other stakeholders involved in the City’s licensing review, inspection and compliance processes.
  • Serves in a support role to the VLI by assisting with site inspections, investigations, and enforcement of various licenses including but not limited to liquor, non-cigarette tobacco, marijuana, massage businesses, adult businesses, and short-term rentals to ensure compliance with City code and state law.
  • Serves in a support role to the VLI by conducting independent and joint inspections, investigations, and enforcement activities related to licenses administered by the City Clerk’s Office.
  • May assist the VLI with public postings and issuing notices of violations when necessary.
  • Respond to customer inquiries and provide direction for licensing compliance in a timely manner through on-site visits, telephone, and/or email.
  • Maintain records for site inspections and administered licenses and may compile reports regarding on-site inspections/investigations to track compliance issues and ensure timely annual renewals and compliance with City code.
  • Responsible for assisting and maintaining databases and website information for assigned City licenses.
  • Provide testimony in hearings and court, which includes communication with businesses.
  • Assist with special projects and other projects and responsibilities assigned by the City Clerk.
