Requirements

  • Fluency in Spanish is required.
  • Ability to commute to our Phoenix and Glendale, AZ offices. This is not a remote position.
  • High school diploma or equivalent.
  • Reliable.
  • Accurate.
  • Detail oriented.
  • Ability to maintain confidentiality.
  • Strong work ethic and problem solving skills.
  • Experience utilizing MS Word, Excel and Google products.

Nice To Haves

  • Microsoft Office: 1 year (Preferred).
  • Customer Service: 1 year (Preferred).
  • 1 -3 years of similar experience (preferred).

Responsibilities

  • Opening and Closing of the office.
  • Manage client communication: May be responsible for communicating with clients, answering their questions, and ensuring their needs are met.
  • Review Outlook scheduled appointments and relevant calendars, remaining conscious of upcoming meetings or deadlines.
  • Scan all signed forms into Filevine after client reviews.
  • Taking payments (cash, Money Order, Check, and LawPay).
  • Process mail by scanning in and uploading to DropBox.
  • Regularly clean and organize commonly used areas of the office, seating area, and conference rooms.
  • Provide general administrative support, such as ordering supplies, managing office equipment, and handling other administrative tasks.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
  • Maintain confidentiality of all sensitive information and documents.
  • Perform other duties as assigned by the supervisor.
  • Provides administrative support to ensure efficient operation of the office.
  • Carries administrative duties such as filing, copying, binding, scanning, etc.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports the team by performing tasks related to organization and strong communication.
  • Contributes to team effort by accomplishing related results as needed.

Benefits
