About The Position

St. Joseph's Addiction Treatment and Recovery Centers is seeking a Full-time Administrative Assistant for their Inpatient Facility in Saranac Lake, NY. The position involves receiving visitors, answering phones, performing clerical duties, and maintaining mail reports and logs. The schedule is Monday-Friday, 8:00 am to 4:30 pm, with a pay range of $17.00 to $23.00 per hour.

Requirements

Responsibilities

  • Send out bi-weekly menu, maintain lunch count, and email dietary by 10:30 am daily with the count.
  • Receive visitors, greet them promptly, assess their needs, request them to sign the Visitor’s Confidentiality Statement, and provide information or direction.
  • Greet all new Resident admissions and connect them to nursing staff to begin the admission process.
  • Complete all PAS 44’s for new residents being admitted to the program.
  • Admit residents into NetSmart.
  • Answer phones courteously and helpfully, handling inquiries professionally and responding within four rings.
  • Project a professional response, screen calls, and be alert to employee availability and personnel assigned back-up.
  • Relay messages by phone or written communication.
  • Ensure faxes are sent to the correct department.
  • Scan Credit Card Statements to Outpatients.
  • Maintain an updated phone list.
  • Coordinate mail distribution, including weighing and applying postage for outgoing mail and UPS.
  • Assure postage supplies and stamp meter are maintained in a timely fashion.
  • Facilitate sender-prepared outgoing mail and packages according to schedule.
  • Sort and distribute all incoming mail daily.
  • Complete mail runs as needed.
  • Create folders for family members and name tags, assemble folders, and color-code paperwork.
  • Contact family members to verify attendance or confirm the status of letter writing.
  • Answer questions regarding family sessions and forward other questions to family staff.
  • Send attending or letter writing guidelines if family members did not receive information via initial interview.
  • Maintain the lecture calendar.
  • Create a list and send an email every other Thursday to announce new resident orientation.
  • Maintain the Holiday sign-up sheet, ensuring all shifts are covered.
