About The Position

The Executive Administrative Assistant is responsible for providing a paraprofessional level of support to executive personnel. This is an on-site position. We’re thrilled that you are interested in joining PDP Group, an Amynta Group company. We are currently hiring for the position of Executive Administrative Assistant at our Hunt Valley, MD location. The compensation for this position is between $20.00 to $27.00 per hour, with possible opportunities for overtime.

Requirements

  • HS Diploma.
  • 3-5 years' experience in an executive assistant role.
  • Strong leadership skills.
  • Strong attention to detail and is dependable, follows through and meets deadlines.
  • Advance skills of Microsoft Office.
  • High level of maturity to handle sensitive and confidential situations.
  • Communication Skills-Clear and concise communication.
  • Strong work ethic and excellent time management skills.
  • Strong interpersonal skills and ability to work well with people throughout the organization.
  • Willingness to maintain a professional appearance and provide a positive company image.

Responsibilities

  • Provide requested assistance to Vice President and President when necessary (expense reports, travel and meetings).
  • Provide general administrative support – maintaining general phone line/voicemail box, welcoming guests and getting them checked in and to their host, assisting fellow employees with questions/concerns or directing them to appropriate party.
  • Coordinates general day-to-day office logistics for keeping general office operations running smoothly.
  • Manages standard office and pantry supplies to support the entire office.
  • Create, edit, finalize PowerPoint presentations for all departments – Corporate, Title
  • Assist in the research, creation, and finalization of all RFPs.
  • Plan, research, organize and execute all company/department-wide events, including but not limited to charitable and morale/incentive-building events.
  • Create all internal, company-wide promotional materials using graphic design software (email announcements, posters, directional signage, etc.)
  • Create/purchase any external marketing material (flyers, cut sheets, branded marketing items, etc.)
  • Maintain an open and professional line of communication with all executive staff.
  • Ability to document meeting notes and action items for follow-up.
  • Research, plan, and purchase all conference-related goods for Title and Brokerage teams – promotional materials, booth space, booth shipping, accommodations, etc.
  • Maintain conference room scheduling, including the coordination of luncheon meetings when necessary.
  • Manage the MTA Bus Pass Program for PDP employees (monthly duty)
  • Assist with the Attendance Policy– collecting weekly reports, maintaining the master sheet, and communicating issues to the HRBP and other HR duties.
