About The Position

F5 is seeking a highly organized, proactive, and tech-savvy Executive Assistant to provide comprehensive support to the SVP of Resiliency Operations. The role acts as a strategic partner, anticipating needs, managing complex schedules, and supporting the seamless execution of daily operations. Because Resiliency Operations responds to live incidents, the assistant must be able to rapidly reshape the executive’s calendar and coordinate incident and war-room logistics. The role also supports Office of the Chief Technical Operations Officer (OCTO) customer programs, including executive briefings, customer advisory boards, operational and service reviews, and industry events, in partnership with OCTO leaders and the field. The assistant serves as the primary point of contact for internal and external constituencies on matters concerning the executive’s office. The role uses modern productivity tools and AI technologies to streamline workflows, optimize travel planning, track projects, and improve office efficiency. The position is primarily based in F5’s Seattle office, with occasional flexibility outside standard business hours during major incidents and customer events, and occasional travel to support customer programs and industry events.

  • Experience coordinating events or customer-facing programs, including logistics, vendors, and attendee management.
  • Excellent written and verbal communication skills, a professional and approachable demeanor, and judgment to draft on an executive’s behalf.
  • Strong critical-thinking skills and ability to anticipate challenges and independently propose solutions.
  • Demonstrated discretion and sound judgment in handling highly confidential information, including customer and incident data.
  • Professional presence and credibility when interacting with board members, senior leaders, customers, and external partners.
  • Ability to thrive and excel in a fast-paced environment.

  • Experience coordinating board-level or enterprise governance forums and preparing materials for them.
  • A forward-thinking mindset and continuous desire to learn and implement new workplace technologies.

Responsibilities

  • Proactively manage the SVP’s complex calendar, resolve conflicts, prioritize time against strategic objectives, protect focus time, build preparation and travel buffers, and coordinate multi-principal meetings and leadership forums.
  • Re-sequence the executive’s schedule during incidents and escalations, reschedule commitments, notify stakeholders, coordinate bridge and war-room logistics, schedule post-incident reviews, and track resulting actions to completion.
  • Coordinate resiliency governance forums, business continuity and disaster recovery exercises, audit and regulatory reporting checkpoints, and risk review meetings; collect inputs and ensure materials are ready.
  • Plan and execute OCTO customer programs and events, including executive briefings, customer advisory boards, operational and service reviews, workshops, and industry events; manage invitations, attendees, venues, agendas, run-of-show, presenters, catering, materials, and follow-up.
  • Coordinate domestic and international travel, including itineraries, visas, accommodations, trip agendas, briefing packets, and contingency options; use AI and travel platforms to optimize plans and anticipate changes.
  • Document and submit business expenses in accordance with company policy; support purchase orders, invoice processing, vendor onboarding, event spending, and software and equipment requests with Procurement and Finance.
  • Coordinate leadership meetings, off-sites, staff meetings, business and quarterly reviews, all-hands, and planning cycles; prepare agendas and pre-reads, take minutes, and track actions with owners and due dates.
  • Triage inbound requests to the executive’s office, route requests to appropriate owners, respond on the SVP’s behalf where appropriate, draft and edit communications in the executive’s voice, and manage inbox flow.
  • Prepare, format, and quality-check leadership and Board of Directors briefing materials, presentations, decision packages, and customer-ready materials; consolidate contributor inputs and maintain organized, version-controlled repositories.
  • Track high-priority projects and initiatives and liaise between the executive and departments to keep deadlines and deliverables on track.
  • Identify opportunities to use AI and software to automate routine tasks and improve productivity; standardize and document recurring processes and retire low-value work.
  • Build and maintain relationships with internal leaders, executive assistants, board members, customers, and external partners; coordinate executive and customer visitors, agendas, logistics, and hospitality.
  • Support leadership-team onboarding and offboarding logistics, including equipment, access, and workspace coordination; coordinate team events and recognition activities and maintain organizational charts, distribution lists, and team rosters.
  • Handle sensitive corporate, incident, customer, personnel, financial, and security information confidentially; apply sound judgment and follow records-management and information-security policies.
