The Administrative Assistant provides excellent customer service and support to individuals receiving services, foster families, host homes, biological families, visitors, and Ariel employees. This position also provides back-up front desk coverage and assists Admin Program Support staff as needed. Ariel Clinical Services has been in business for over 30 years and has grown significantly, offering a broad range of services including residential programs, vocational support, foster care and adoption, therapy, and much more. Requirements

  • High School graduation or equivalent, minimum age 18.
  • Ability to work respectfully and professionally with a variety of people and challenges.
  • Ability to maintain a positive outlook and to remain calm in sometimes chaotic situations.
  • Ability to demonstrate honesty, self-discipline and accountability for one’s actions.

  • Basic computer knowledge. Including Microsoft 365 applications. Basic excel spreadsheet design and running record keeping.

  • Communicate respectfully and effectively, both verbally and in writing, in individual and group settings, while demonstrating active listening skills.

  • CPR certification/license.

Responsibilities

  • Greet individuals receiving services, customers, and employees in person and by phone, provide directions, and escort visitors to their destination when appropriate.
  • Safeguard the confidentiality of all information obtained or observed while performing job duties.
  • Learn to use, troubleshoot, and assist others with office equipment; complete the organization’s fax and postal needs. Collecting the mail and distribute daily.
  • Maintain a record of all monies received by the agency following Standard Operating Procedures.
  • Maintain files by scanning documents, saving to appropriate driver and various systems, archiving documents as needed.
  • Maintain workstation, conference rooms, and lobby areas to ensure they are clean and presentable.
  • Sanitize all high touch areas in the front offices, including chairs and door handles, morning and afternoon.
  • Provide front desk coverage during lunch breaks, employee absences, and scheduled paid time off.
  • Support teams, departments, and programs with projects as needed.
  • Complete assigned opening and closing duties.
  • Adhere to all front desk safety protocols and procedures.
  • Work closely with other Ariel Programs and offices.
  • Performs other duties as assigned.
