About The Position

The Specialist will also directly contribute to marketing and communications initiatives by planning, executing, and measuring efforts to boost awareness and reputation. The role offers exposure across strategy, operations, and execution, working closely with the Vice President, Marketing & Communications, making it suitable for someone eager to learn and make an immediate impact in a fast-paced, highly visible environment. This position follows a hybrid work model, requiring a regular on-site presence of 2–3 days per week, with the flexibility to work remotely on remaining days. On-site time is essential for collaboration, team engagement, and key in-person activities, while remote work supports focus time and productivity. Specific on-site expectations may vary based on team needs and business priorities. Requirements

  • Bachelor's degree in a related field

Responsibilities

  • Owns the strategy, planning and execution of marketing and communications support for specific clients within the health system.
  • Employs project management techniques to complete marketing tasks or projects on schedule and on budget; escalates issues; regularly maintains and provides project status to supervisor and teams.
  • Builds and maintain positive relationships with internal partners and colleagues; responds to requests quickly and effectively; appropriately activates additional resources and personnel to respond to issues; effectively communicates and works with team members and external partners to accomplish tasks or projects.
  • Coordinates and performs functions that support a high-functioning Marketing & Communications team; proactively identifies opportunities to improve effectiveness and efficiency; manages and owns administrative tasks such as organizing cross-team and cross-department meetings, communication with accounts payable and purchasing among others.
  • Process budget submission forms
  • Handle miscellaneous payment requests
  • Oversee ARPOs and cost transfers
  • Set up new vendors
  • Reconcile monthly credit card statements
  • Manage OCTR orders
  • Operations budget (including all subscriptions and tools, professional development and coordination of travel)
  • Respond to inquiries via the M&C inbox and phone line
  • Manage incoming and outgoing mail and packages
  • Assist in the procurement, distribution and collection (of old materials) of USNWR materials
  • Oversee Kronos/Timecard quality assurance
  • Organize department meetings (including agenda distribution, rotating slides, logistics, IT, travel (if applicable) and catering)
  • Facilitate new hire onboarding
  • Administer Media Authorization Forms
  • Quarterly update of all KPIs, including proactive collection, update and distribution
  • Annual departmental scheduling and coordination
  • Investigate, plan, create, implement and measure marketing and communications strategies in support of overall system priorities for ad-hoc and/or standalone projects or initiatives
  • In partnership with the VP, Marketing & Communications, own and deliver on initiatives related to executive visibility, improving awareness and advancing reputation, and other duties as assigned aligned to marketing and communications
  • Manage the M&C SharePoint folder structure for optimal accessibility
  • Coordinate meetings/scheduling that involve more than 2 administrative professionals and more than 2 members of Marketing & Communications
  • Remove hard bounces from subspecialist email lists in Marketing Cloud
  • Coordinate the estimates for and ordering of branded promo items
