About The Position

The Department of Surgery is seeking qualified applicants for a new Assistant Director, Ambulatory Clinic Administration position. This position will work with and report to the Vice Chair and Director for Administration for the Department of Surgery, and fills a pivotal role serving on the departmental management team. This role is responsible for providing administrative oversight of all of the Department of Surgery's clinic/ambulatory operations in the department's geographical area in Northern and Central Florida. The Department of Surgery clinics currently see 60,000 outpatient/ambulatory visits per year with an annual expense budget of $6.5M. This includes managing day-to-day operations, budget management, and clinical point of service billing, personnel actions, and fiscal activities of the Surgery ambulatory clinics in support of the College of Medicine’s clinical service, education and research missions. This position requires a high level of professionalism, discretion, and thorough knowledge of the policies, procedures, and operations within an academic surgical ambulatory environment. This position requires the ability to work with affiliated institutions across the Department of Surgery’s regional footprint in University of Florida Physicians’ clinics and satellite clinics in various cities in the State of Florida. Frequent travel is a requirement of this position, and a valid driver's license is required.

Requirements

  • Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree in an appropriate area and four years of relevant experience.

  • Supervisory experience is required, preferably within an ambulatory surgical setting.
  • Experience with Microsoft Office using Outlook and creating advanced level Excel spreadsheets is required.
  • Should have experience with multiple components of Epic electronic medical record, including registration, scheduling, billing, check-in/check-out, and point-of-service collections.
  • Demonstrated knowledge of University and Shands fiscal policies and procedures is required.
  • Proven ability to stay knowledgeable of federal and local rules and regulations governing clinical activities at UF Health.

Nice To Haves

  • A master’s degree in business administration (MBA) or health care administration (MHA) is preferred.
  • Six years of progressively responsible business or health care related experience is preferred.
  • Experience managing multiple clinic locations over a large geographical footprint preferred.
  • Four years of surgical administrative experience preferred.
  • Experience managing multiple subspecialties preferred.
  • Experience managing the relationships between outpatient surgical clinics and perioperative settings in hospital and Ambulatory Surgical Centers.
  • Ideal candidate will be a flexible, critical thinker with the ability to collaborate with different teams of individuals while maintaining a positive, can-do attitude.
  • Ability to plan, manage, organize, and coordinate assignments, and monitor activities of multiple projects simultaneously.
  • Ability to provide oversight over multiple areas to include timely execution of deliverables with organizational, project planning, and time management skills to direct and disseminate policy and procedure in an effective manner.
  • Candidate must be able to effectively lead and train employees while creating an environment conducive to good morale.
  • Experience with PeopleSoft, Enterprise Analytics/Reporting, and Hyperion budgeting tools.
  • General financial accounting knowledge is preferred.

Responsibilities

  • Manages all clinic ambulatory operations through the Department of Surgery's clinic managers and site supervisors.
  • Serves as a single point of contact in the Department of Surgery for the management of all Surgery ambulatory clinics. This will involve developing plans and monitoring processes to ensuring a high level of patient-focused experience and quality of care.
  • Responsible for improvement projects as assigned by the Vice Chair and Director of Administration, the clinic Medical Directors and the departmental Chair related to operational efficiency, patient safety and satisfaction, and revenue enhancement in departmental outpatient clinic locations.
  • Works with our regional affiliate institutions for the successful management of clinics at multiple locations within Northern and Central Florida.
  • Directly supervises clinic managers and oversees clinic staff evaluations.
  • Supports clinic managers and site supervisors in day-to-day operations and management of staff.
  • Responsible for budget variance reports, personnel actions, and producing other operational reports.
  • Manages and oversees development of new clinical programs and processes in Gainesville and across the Department of Surgery's regional footprint.
  • Creates a variety of clinical data reports, which require proficiency with Slicer Dicer.
  • Responsible for creating and keeping up-to-date instruction manuals for a variety of departmental reports and processes in relation to the clinic budget process.
  • Oversees EPIC clinic templates and visit schedules in conjunction with other leadership.
  • Special projects as needed.
