About The Position

Ovadia Interior Design and Architecture is seeking a Receptionist and Personal Assistant (RPA) to serve as the welcoming first impression of their studio and provide direct support to their founder. This role is ideal for someone who enjoys client care and detail management, anticipates needs, and ensures the smooth operation of both the front desk and the founder's schedule. Key attributes for this position include discretion, hospitality, and a calm, proactive demeanor, alongside strong organizational skills. The RPA will manage the front of house operations, including greeting clients and guests, handling phone calls, mail, and deliveries, and maintaining the presentation of common areas. They will also provide direct personal and administrative support to the founder, managing calendars, travel arrangements, appointments, expenses, and personal errands with utmost confidentiality. Additionally, the RPA will assist in preparing for client meetings and firm events, ensuring all details are meticulously handled.

Requirements

  • Associate or bachelor's degree
  • 3 to 5 years of experience in a reception, executive assistant, or personal assistant role
  • Warm, professional presence and excellent phone and in-person etiquette
  • Excellent written and verbal communication, including proofreading and correspondence
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Strong organizational skills and the ability to juggle competing priorities without losing details
  • Proven discretion with confidential personal and business information
  • Initiative, ownership, and a willingness to jump in wherever the team needs support
  • Comfort following up with vendors and building staff, including when professional assertiveness is required

Responsibilities

  • Greet clients, vendors, and guests, ensuring a welcoming and well-cared-for experience.
  • Answer, screen, and route all incoming calls, taking clear and complete messages.
  • Manage incoming and outgoing mail, packages, messengers, and courier and shipping services.
  • Maintain the reception area, conference rooms, kitchen, and common areas in a clean, stocked, and presentation-ready state.
  • Manage the principal's calendar, including meetings, appointments, reminders, and schedule changes.
  • Coordinate all aspects of travel, including flights, hotels, cars, and detailed itineraries.
  • Schedule personal appointments, handle errands, and coordinate household and family logistics as needed.
  • Prepare, submit, and track expense reports, receipts, and reimbursements.
  • Draft, proofread, and send correspondence on the principal's behalf.
  • Handle sensitive personal and business information with complete confidentiality and discretion.
  • Order and maintain office, kitchen, and print supplies, managing costs within budget.
  • Serve as the primary contact for building management, cleaning crews, and repair/maintenance vendors.
  • Coordinate service calls and ensure issues are fully resolved.
  • Oversee office equipment, including printers, copiers, and the print management system, arranging service as needed.
  • Maintain organized and current vendor contact lists, service agreements, and office documentation.
  • Support onboarding logistics for new team members, including desk setup, supplies, and building access.
  • Prepare conference rooms for client meetings and presentations, including materials, samples, and refreshments.
  • Order and set up catering for meetings, team lunches, and special occasions.
  • Assist with planning and executing team-building events, client events, and holiday celebrations.
  • Manage calendars and bookings for shared conference and meeting spaces.
