About The Position

We are seeking a highly organized and detail-oriented Contract Administrator to manage the creation, execution, and oversight of customer contracts, including Purchasing and Consignment Agreements. This individual must have a strong understanding of the entire contract lifecycle—from initiation to execution, monitoring, renewal, support internal and external customers in day-to-day administration of company contract and subcontract agreements according to the company policies and procedures, legal requirements, and customer/contract specifications. The ideal candidate will also have experience working with Group Purchasing Organizations (GPOs) and possess a solid understanding of the required documentation and compliance standards associated with GPO contracts. Additionally, this role requires a proactive mindset to maximize the effectiveness of the contract process and identify opportunities for improvement and efficiency.

Requirements

  • Minimum of 3 years of experience in contract administration, with a focus on purchasing and consignment agreements.
  • Bachelor's degree in Business Administration, Supply Chain Management, Legal Studies, or related field, or a combination of equivalent education and relevant experience.
  • Strong knowledge of contract law, purchasing agreements, and consignment contracts.
  • Familiarity with GPO processes and the ability to navigate GPO-specific documentation and compliance requirements.
  • Proficiency in data analysis tools (e.g., Excel, Power BI, or specialized data analytics software) and the ability to turn data into actionable insights.
  • Excellent communication, negotiation, and interpersonal skills.
  • Strong organizational skills with the ability to manage multiple contracts and data analysis projects simultaneously.
  • Proactive mindset with a focus on process optimization, problem-solving, and continuous improvement.
  • High attention to detail and the ability to manage complex workflows efficiently.

Responsibilities

  • Oversee the entire contract lifecycle, including contract creation, negotiation, execution, compliance monitoring, and renewal.
  • Develop, review, and finalize customer contracts, focusing on purchasing and consignment agreements.
  • Proactively identify and resolve issues in the contract process, ensuring timely and efficient contract execution.
  • Maintain clear documentation throughout the contract lifecycle for internal and external auditing purposes.
  • Work closely with Group Purchasing Organizations (GPOs) to ensure adherence to contract terms and compliance with GPO-specific requirements.
  • Manage all required GPO documentation and reporting, ensuring full compliance with contractual and regulatory standards.
  • Serve as the primary point of contact for GPO contract-related inquiries and issues.
  • Conduct detailed consignment data analysis to monitor inventory, usage trends, and consignment agreement performance.
  • Perform spend analysis to track purchasing behavior, identify cost-saving opportunities, and evaluate vendor performance.
  • Provide actionable insights from data analysis to support strategic decisions within procurement and finance.
  • Continuously assess the contract management process and make recommendations for improvements to streamline workflows and increase efficiency.
  • Identify opportunities to maximize the effectiveness of the contract lifecycle and take proactive steps to ensure compliance, speed, and cost-effectiveness.
  • Coordinate cross-departmentally to ensure alignment and smooth execution of contract-related tasks.
  • Ensure that all contracts meet legal, regulatory, and company policy requirements.
  • Maintain up-to-date contract records and documentation for internal and external audits.
  • Assist in the development of contract templates, best practices, and standard operating procedures (SOPs).
  • Work closely with legal, sales, finance, and operations teams to ensure smooth contract execution and adherence to terms.
  • Provide contract-related support, advice, and guidance to internal stakeholders, ensuring alignment with business goals.
  • Track key contract milestones and deliverables, ensuring terms are fulfilled on time.
  • Prepare reports on contract status, performance, spend analysis, and consignment inventory for senior management review.
  • Work on special projects as assigned
