About The Position

Requirements

• Associate’s degree in healthcare administration, business administration, medical office administration, or related field, required
• Minimum 2-3 years of progressively responsible experience in healthcare administrative setting, required
• Minimum 2-3 years of supervisory or lead experience directing the work of staff, required
• Experience with electronic health records, required
• Problem solving and organizational skills required.
• Ability to lead employees and manage multiple priorities simultaneously.
• Ability to cultivate effective partnerships and work in collaboration with providers, other health care professionals, caregivers, patients and community members.
• Proficient in the use of current technology, including Microsoft Office products.
• Ability to learn and effectively use electronic medical records and other systems and equipment.
• Professional and effective written and verbal communication skills.
• Ability to identify and employ communication strategies appropriate to the audience.
• Ability to maintain accurate documentation and records in a timely manner.
• Ability to work independently performing a wide variety of assignments that require the use of independent judgment, systems-thinking, problem-solving, organization, and prioritization skills.

Responsibilities

• Provides day-to-day supervision and support to Program Specialists.
• Ensures compliance with processes and procedures, regulatory requirements, and Epic documentation standards.
• Develops, implements, and maintains standardized workflows and operating procedures across various lines of business.
• Monitors adherence to standardized procedures through audits, feedback, and continuous improvement efforts.
• Coordinates daily staffing and resolves coverage issues based on operational needs.
• Serves as the primary point of contact for staff regarding workflow barriers, safety concerns, and EMR-related questions.
• Identifies training needs and provides ongoing education, competency validation, and Epic training for staff.
• Conducts performance evaluations and provides coaching and corrective feedback to staff.
• Performs special projects and other related duties as assigned.
• Builds and Maintains Relationships: Interacts with direct-reports, co-workers and patients/customers in a professional, kind and tactful manner.
• Communicates a Compelling Vision and Direction: Understands and effectively promotes vision with direct reports.
• Assists in developing department plan to advance the vision.
• Demonstrates Effective Supervisory Skills: Successfully performs basic supervisory tasks, such as: Maintains equipment and physical space.
• Maintains appropriate staffing levels and competency of staff.
• Monitors and supervises staff performance, satisfaction and engagement.
• Maintains accurate and complete paper and electronic records.
• Ensure clinic processes meet regulatory requirements and federal, state and local laws.
• Develops Self and Others: Trains and guides direct reports.
• Participate in personal and professional development activities.
• Fosters an Environment of Trust and Integrity: Establishes open & honest communication with staff, peers & leadership.
• Maintains confidentially, follows through on commitments.
• Helps leadership develop, implement, and monitor department strategies and tactics.
• Ensure direct reports understand the strategic plan.
