About The Position

This position provides comprehensive administrative support to executive leadership, including tasks such as word processing, photocopying, scanning, faxing, filing, and scheduling. The role involves managing communications, coordinating meetings, travel, and conferences, and handling office supplies. The Executive Assistant will also work on special projects, establish and maintain filing systems, manage data, and handle confidential information. The position requires independent work as well as collaboration with other administrative staff and departments, ensuring smooth operations and professional representation of the executive area.

Requirements

  • Must possess a high school diploma or GED
  • 3+ years’ administrative experience supporting senior level executives
  • Excellent verbal and written communication skills
  • Polite and considerate to visitors, co-workers and management team
  • Independent judgment is required to plan, prioritize and organize diversified workload
  • Ability to work with and secure confidential information
  • Customer service oriented with the ability to work well with others as part of a team
  • Organized, have the ability to multi-task, and work with minimal supervision in a fast paced-environment
  • Advanced proficiency in using Microsoft Office, to include: MS Outlook, MS Word, MS Excel and MS PowerPoint
  • Neat, well-groomed and professional in appearance
  • Dress in a professional manner
  • Able to sit for extended periods of time

Responsibilities

  • Provide administrative support to include word processing, photocopying/scanning/faxing, filing and scheduling
  • Perform duties such as answering the phone, greeting guests, coordination of meetings and travel
  • Order and stock office supplies
  • Coordinate mailings
  • Work on special projects
  • Schedule and organize activities such as meetings, travel, conferences
  • Support the Regional and Home Office Associates
  • Perform word processing
  • Create and develop visual presentations for the Executive Leadership
  • Establish, develop, maintain and update filing systems
  • Update and upload to the Data Management System
  • Retrieve information from files as needed
  • Sort and distribute mail
  • Draft written responses or replies by phone or e-mail when necessary
  • Respond to regularly occurring requests for information
  • Answer incoming calls
  • Take messages or fields/answer all routine and non-routine questions
  • Work in cooperation with other Administrative Assistants to cover phones
  • Greet and direct incoming visitors and guests in a professional and friendly manner
  • Act as a liaison with other departments
  • Handle confidential and non-routine information
  • Work independently and within a team on special projects
  • Assist with planning and coordinating presentations, disseminating information, coordinating direct mailings, etc.
  • Create general correspondences, memos, charts, tables, graphs, business plans, etc.
  • Proofread copy for spelling, grammar and layout, making appropriate changes
  • Handle travel reimbursements through the approval process
  • Document/Reconcile corporate credit card expenses to corporate finance
  • Assist in the ordering, receiving, stocking and distribution of office supplies
  • Monitor office security, ensuring no unauthorized visitors gain access to the executive area
  • Make travel arrangements as needed
  • Complete all other duties as assigned by management
