About The Position

Operations is responsible for materials handling and product distribution in a distribution or manufacturing environment. This includes warehousing and fulfillment of materials and products, transportation, inventory management as well as demand, supply and manufacturing planning. The Senior Coordinator Transportation works in outbound warehouse operations and is responsible for the management of all orders via the order warehouse management system, email and telephone. This job prioritizes orders based on customer demands and collaborates with the dispatch team to determine optimal transport methods (private fleet, courier, etc.). The Senior Coordinator Transportation clusters orders and strategically issues them to the warehouse for picking/packing in an effort to effectively manage capacity. This role collaborates cross functionally with sales representatives and marketing to meet the needs of the customer and maintain customer satisfaction and quality standards. At this level, individuals effectively apply knowledge of job and company policies and procedures to complete a variety of assignments, possess in-depth knowledge in a technical or specialty area, and apply advanced skills to resolve complex problems independently. They may modify processes to resolve situations, work independently within established procedures, and may receive general guidance on new assignments. They may also provide general guidance or technical assistance to less experienced team members.

Nice To Haves

  • 2-4 years of experience in a related role strongly preferred.
  • High School diploma, GED or equivalent, or equivalent work experience, preferred.
  • Proficiency in Microsoft Office Suite applications, SAP, and AIMS Warehouse Management Systems preferred.

Responsibilities

  • Manage and update customer information, customized customer delivery groups and departments within SAP.
  • Monitor, process, and track the status of all incoming and outgoing emails and tasks through the outbound group mailbox, providing updates as needed.
  • Prepare and distribute daily pack lists to various customer accounts.
  • Communicate with commercial carriers to schedule pick up of shipments.
  • Process rush orders and coordinate pick-ups with courier service, confirm status of shipments with customers and carriers.
  • Communicates with supervisor and other internal departments on inventory accuracy and quality metrics related to specific products or customers.
  • Communicates with outside vendors to secure supplies for operational needs.
  • Log customer reported errors in the Quality tracker.
  • Resolves discrepancies and operational errors as necessary to fulfill customer commitments on time and within budget.
  • Communicates with Supervisor, Manager, and other stakeholders to identify root cause and develop solutions to reduce future errors.
  • Develops and simulates routes for pick planning.
  • Additionally prints room tasks which include manifesting routes, organizing shipping documents, and communicating with the transportation team.
  • Coordinates with Baxter and Penske on daily shipments, as well as off-schedule pick planning, such as holiday shipments.
  • Proactively identifies opportunities to improve inventory control and operational processes and mitigate risks.
  • Provides timely and effective input into operational excellence initiatives through Supervisor and Manager.
  • Perform all job duties in accordance with OSHA standards and adhere to all policies, rules, regulations, and procedures set by the organization.
