About The Position

SpecPro Professional Services (SPS) is seeking an experienced Administrative Coordinator to support the Air Force Real Property Transaction program. The Air Force focuses on resource and investment advocacy for real property accountability and reporting, acquisition management, and divestiture activities. This includes working to deliver beneficial and reliable support for the Air Force, Space Force, Air National Guard and Air Force Reserves Real Property Transactions. This position will provide comprehensive administrative, workflow, and program management support across the organization. Because it plays a central role in ensuring accountability, compliance, and operational continuity for the Division, it is important for the candidate to have the ability to manage critical processes that directly support AFCEC/CITA’s mission. The candidate should also have strong organizational skills and the ability to coordinate effectively across multiple teams and functional areas.

Requirements

  • U.S. citizenship is required to obtain/maintain applicable security clearances (ex: NACI clearance).
  • Strong written and verbal communication skills including the ability to develop presentations, briefs, and written reports
  • Proficient in Microsoft Excel, Word, and PowerPoint.
  • Possess extensive organizational skills and the ability to work independently; must have outstanding filing, and organizational skills.
  • Demonstrate experience with high-level correspondence/communication and understand the military/government chain of command process.
  • Work well in a mixed government/contractor team environment and take direction well
  • Ability to adapt and develop innovative solutions

Responsibilities

  • Manage the AFCEC/CITA Workflow Box in accordance with established Standard Operation Procedures (SOPs) and workflow procedures to ensure all taskers, correspondence, and accountability actions are processed.
  • Maintain archived workflow emails and track pending and completed taskers.
  • Coordinate with the AFIMSC Helpdesk to establish system access for new personnel.
  • Serve as the primary MICT point of contact for AFCEC/CIT.
  • Lead the semiannual self‑assessment process, ensuring checklists are reviewed, updated, and validated.
  • Upload new assessments and reference documents and validate final submissions.
  • Coordinate with MICT POCs to maintain accurate point‑of‑contact information.
  • Manage quarterly Title V reporting requirements for all Air Force installations.
  • Issue data calls, review installation submissions for accuracy, ensure compliance with HUD requirements, and upload all required documentation to the McKinney Reporting Tool.
  • Prepare and submit quarterly reporting packages, including drafting cover letters for Branch Chief signature.
  • Maintain reporting templates, reference materials, and historical documentation.
  • Review incoming Reach Back Center tickets and assign them to the appropriate AFCEC/CIT team.
  • Track and close tickets using the assigned tracking system.
  • Coordinate updates to POC information with the Reach Back Center.
  • Serve as the primary timekeeper for AFCEC/CIT.
  • Monitor timecard coding accuracy, assist with corrections, and ensure timely closeout.
  • Manage schedule changes, travel comp time documentation, and premium leave requests.
  • Support onboarding of new certifiers and assist employees with uploading required documents via CSP.
  • Schedule and coordinate weekly AFCEC/CITA staff meetings.
  • Reserve conference rooms through AgileQuest and maintain recurring calendar invitations.
  • Ensure meeting logistics and communication requirements are met.
  • Providing meeting minutes for Branch Chief
  • Maintain and update the AFCEC/CITA Global Address List (GAL) distribution list.
  • Process changes through the official GAL management portal to ensure accuracy and accessibility.
  • Review, process, and track Air Force real property transaction packages using NexGen IT, AFIs, and the Real Estate Transaction Playbook.
  • Support management of new, expiring, and expired grants, including issuing and tracking instrument and grant numbers.
  • Conduct document reviews to ensure transactions meet agency standards and prepare/route eSSS packages.
  • Perform task management functions, provide updates, maintain accurate task information, and coordinate with program managers.
  • Mail executed real estate grants to installations and archive fully coordinated documentation.
