About The Position

Procon E&C performs various construction projects including architectural, electrical, mechanical, cleanroom/dry room, duct, and system ceiling in the industrial and specialty construction markets. This position is a key support role responsible for the administrative and project control tasks necessary for project execution, including bidding, purchasing, project document management, cost tracking, schedule follow-up, and change order support. This is not a simple office assistant role, but rather a role that supports the project's progress according to schedule and budget by accurately organizing and following up on information among the Project Manager, Estimating, Accounting, Field Team, and Vendors/Subcontractors. Excellent Korean communication skills are essential, and English skills are required to handle communications with US vendors, clients, subcontractors, and internal documents and emails.

Requirements

  • Fluent or highly proficient Korean communication skills.
  • Intermediate or higher English proficiency: able to handle emails, review documents, and communicate with vendors/clients.
  • Interest in or related experience with construction, engineering, architectural, electrical, mechanical, or industrial plant projects.
  • Proficiency in basic office software such as Microsoft Excel, Outlook, and Word.
  • Ability to meticulously compare and organize estimates, quantities, costs, schedules, and documents.
  • Organizational skills to manage multiple tasks simultaneously and follow up by deadlines.
  • Ability to communicate accurately and responsibly among field, office, vendors, and subcontractors.
  • Ability to prioritize in a fast-paced work environment and proactively report issues.
  • Excellent Korean communication skills.
  • English communication skills (intermediate level or higher) for emails, document review, and vendor/client communication.

Nice To Haves

  • Experience as a Construction Project Coordinator, Project Admin, Procurement, Estimating Support, or Project Control.
  • Experience in Architectural, Mechanical, Electrical, Duct, Cleanroom/Dry Room, or Industrial Construction.
  • Understanding of construction drawings, specifications, scope of work, and change order documents.
  • Experience with construction software such as Acumatica, Procore, Bluebeam, PlanGrid, BuildingConnected, or Dodge.
  • Experience with cost codes, project budgets, POs, invoice review, and billing support.
  • Understanding of both Korean and US business cultures.
  • Desire to grow into roles such as Project Manager, Estimator, Procurement Manager, or Project Controls in the long term.

Responsibilities

  • Support bidding tasks for architectural, electrical, mechanical, and industrial plant projects.
  • Review and organize bid materials such as bid invitations, drawings, specifications, scope of work, and addenda.
  • Request, collect, and create comparison tables for vendor and subcontractor quotes.
  • Organize differences in bid scope, exclusions, clarifications, lead times, and pricing.
  • Assist in preparing proposal packages, bid forms, scope summaries, and clarification/exclusion lists.
  • Support bid reviews and go/no-go decisions with Estimating/Operations/Leadership teams.
  • Manage bid tracking logs, proposal history, and quote backups.
  • Support purchasing tasks related to materials, equipment, fabrication items, and subcontracted work.
  • Confirm and follow up on vendor quotes, technical data, lead times, and delivery schedules.
  • Prepare purchase orders and support internal approval processes.
  • Manage material delivery status, backorders, substitutions, shipping issues, and delayed deliveries.
  • Communicate with Korean and US vendors regarding price, delivery time, specifications, and documents.
  • Organize invoices backups, packing lists, delivery confirmations, and receiving information.
  • Report any purchasing-related risks or cost impacts to the Project Manager and Management.
  • Support tracking of project budget, cost codes, commitments, purchase orders, invoices, and change orders.
  • Manage project control logs such as RFI, submittal, change order, procurement, and issue logs.
  • Organize vendor quotes, field records, and quantity support for change order pricing backups.
  • Follow up on project schedule, manpower, material status, pending issues, and delay impacts.
  • Assist in preparing weekly/monthly project status reports.
  • Coordinate with the Accounting team for project cost coding, billing support, and vendor payment backups.
  • Support project closeout documents, warranties, O&M manuals, as-built drawings, and final documentation.
  • Organize project documents including contracts, drawings, specifications, RFIs, submittals, COs, meeting notes, and correspondence.
  • Relay documents and information between clients, GCs, subcontractors, vendors, field teams, and internal management.
  • Create and manage meeting notes, action item lists, and follow-up reminders.
  • Summarize, translate, and organize Korean and English materials as needed.
  • Quickly identify and report critical schedule, cost, scope issues, and missing information.
  • Manage files according to project folder structures and document naming rules.
