About The Position

The Squamish Nation is seeking a highly organized and detail-oriented Case Management and Admin File Clerk to join the Ayás Mén̓men Child and Family Services team within Nexwnínlhewá7nem Ch'áwch’aw People Services. Reporting to the Manager, Administration and Operations, this position plays a critical role in supporting child and family services through the management, organization, maintenance, and safeguarding of confidential client records. Acting as a central point of contact for case file administration, the Case Management and Admin File Clerk ensures that physical and electronic records are complete, accurate, compliant, and readily accessible to support the delivery of culturally grounded services to Indigenous children and families. Requirements

  • Grade 12 completion.
  • Diploma, certificate, or related post-secondary training in Administration or a related field.
  • Minimum one year of related experience in records management, filing, administrative support, or a similar role.
  • Intermediate proficiency with Microsoft Office and electronic records management systems.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong organizational and time management skills with the ability to manage competing priorities.
  • Excellent interpersonal and communication skills.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • High level of professionalism, integrity, patience, and emotional intelligence.
  • Ability to work collaboratively in a fast-paced, team-oriented environment.

Nice To Haves

  • Experience using MCFD systems such as ICM and MIS is considered an asset.
  • Knowledge and understanding of Sḵwx̱wú7mesh Úxwumixw history, culture, customs, land, and people is considered an asset.

Responsibilities

  • Maintain and organize physical and electronic files for guardianship, resource, and family services teams.
  • Create, retrieve, update, archive, and dispose of files in accordance with records management procedures and retention schedules.
  • Manage records within electronic case management systems, including ICM, MIS, and Mustimuhw.
  • Digitize and upload documentation to support accurate electronic recordkeeping.
  • Respond to requests for file retrieval, archived records, and file transfers.
  • Assist with troubleshooting file management issues and support staff in the use of case management systems.
  • Ensure all documentation is accurately labelled, current, and compliant with policies, legislation, and delegation standards.
  • Support quality assurance reviews and audits by maintaining inspection-ready files and records.
  • Coordinate file transfers and information sharing with MCFD and other authorized agencies while maintaining confidentiality.
  • Support the administration of FOIPPA requests and records-related inquiries.
  • Collaborate with managers, social workers, and administrative staff to ensure file compliance and operational effectiveness.
  • Incorporate Indigenous cultural protocols and support Ayás Mén̓men's mission of delivering culturally grounded services to Indigenous children and families.
