The Clinical Trial Logistics Coordinator is responsible for the day-to-day coordination and management of specialty healthcare shipments, with an initial focus on supporting clinical trial logistics operations. This is a hands-on coordinator role focused on order intake, transportation planning, proactive shipment monitoring, customer communication, issue resolution, and shipment closeout. The role serves as the primary owner of assigned shipments from order intake through final delivery confirmation, helping ensure time-critical and temperature-sensitive shipments are executed safely, accurately, and in accordance with customer requirements and standard operating procedures. As MedSpeed’s Specialty Logistics business evolves, this role may later support additional healthcare logistics services, including commercial pharmaceutical distribution and other specialized transportation solutions.

Requirements

  • High School Diploma required; Associate’s degree or equivalent work experience preferred.
  • 2–4 years of experience in clinical trial logistics.
  • Experience coordinating customer orders, communicating with multiple stakeholders, monitoring active shipments, and resolving service issues in a fast-paced environment.
  • Familiarity with clinical trial shipment workflows, temperature-sensitive logistics, chain-of-custody expectations, or regulated healthcare transportation is preferred.
  • Demonstrate appropriate customer-care skills such as empathy, active listening, courtesy, politeness, helpfulness and other skills as identified
  • Demonstrate excellent verbal and written communication skills
  • Ability to coordinate cross-functional teams through issue resolution to ensure shipments are delivered on time.
  • Good understanding of logistics including air freight, ground transportation requirements, and routes.
  • Working knowledge of order management systems, transportation management tools, customer portals, shipment tracking platforms, and Microsoft Office applications.
  • Ability to document shipment activity, exceptions, escalations, and customer communications clearly and accurately.
  • Sound judgment to recognize shipment risks, escalate issues appropriately, and support recovery plans in coordination with internal teams and logistics partners.

Responsibilities

  • Receives, monitors, plans, and routes customer orders utilizing routing tools and market resources to ensure efficient, priority-based transportation in compliance with corporate guidelines and performance standards.
  • Owns specialty logistics shipments from order receipt through final delivery confirmation and shipment closeout.
  • Proactively identifies risks or potential delays with customer orders and coordinates appropriate actions to help ensure timely delivery.
  • Coordinates transportation providers and specialty logistics partners.
  • Communicates and coordinates with clinical trial customers and stakeholders, including CROs, CDMOs, pharmaceutical manufacturers, sponsors, investigator sites, central labs, depots, and other partners involved in clinical trial logistics.
  • Oversees temperature-controlled shipping activities and temperature data review.
  • Completes post-delivery reconciliation, packaging recovery, and shipment closure activities.
  • Manages shipment exceptions and recovery plans.
  • Perform skills necessary to create high-quality customer experiences as reflected through acceptable quality monitors and customer feedback
  • Ensures compliance with study protocols, customer requirements, chain-of-custody standards, and regulations.
  • Collaborates with local market team members and management to foster effective communication and maintain strong, cooperative relationships with Market Operations.
  • Completion of any tasks or special projects, as assigned, to meet the changing workload of Specialty Logistics.
  • Supports process improvement, onboarding, and training activities by sharing knowledge, reinforcing standard procedures, and helping team members understand Specialty Logistics workflows.
  • Works to promote MedSpeed culture.
