About The Position

Provides administrative assistance to the Division Chief, including managing a complex calendar, composing correspondence, developing presentations, and handling local and foreign travel arrangements. Arranges travel, including airline, automobile, and hotel reservations. Completes registrations for conferences and meetings. Completes Travel Authorization Reimbursement forms and Expense Reports in People Soft. Organizes and performs all office and clerical functions including, but not limited to, answering the telephone, taking and transcribing meeting minutes. Ensures that requests for action or information are relayed to the appropriate faculty or staff member. As needed, interprets requests, helps implement action, and decides who should be notified of important or emergency matters. Ensures the scheduling in advance of adequate rooms, reservation and delivery of needed equipment and catering of food, when appropriate, for meetings, training sessions, and large events. Orders supplies and items as requested by Division Chief or Executive Director. Ensures appropriate level of supplies are ordered and maintained in a cost effective manner. Submits and maintains times sheets as required for Division Chief and Assistant Director. Assists with special projects as assigned (conferences and meetings).

Requirements

  • High school diploma or equivalent.
  • Seven years of relevant experience.
  • Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Nice To Haves

  • Associate or Bachelor degree in a relevant discipline such as Healthcare Administration, Business or related field.
  • Seven years of operational experience in an ambulatory practice setting in the same or similar specialty.
  • Attainment of a score of at least 55 wpm on an approved typing test.
