About The Position

Jackson Lewis P.C. is seeking a Legal Secretary/Administrative Assistant to support multiple labor and employment litigation attorneys. This role is crucial for providing both legal and administrative support, including drafting and revising legal documents, e-filing, conducting legal research, and managing attorney calendars, expenses, invoices, and travel arrangements. The ideal candidate will be highly organized, detail-oriented, and a team player with at least 3 years of recent litigation secretary experience, including electronic filing. The firm focuses on employment and labor law and is dedicated to helping employers develop proactive strategies and business-oriented solutions.

Requirements

  • At least 3 years of recent experience in a legal administrative assistant role within a law firm supporting litigation attorneys.
  • Experience with electronic court filings.
  • Familiarity with state and federal rules and procedures, as well as procedures with state and federal agencies.
  • Solid understanding of technical legal terminology.
  • Experienced with trial preparation and briefs.
  • Strong verbal and written communication skills.
  • Excellent proofreading skills.
  • Ability to timely respond to deadlines, balance workload, and take initiative.
  • Proficient with Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong interpersonal skills and ability to work well in a cooperative, small office environment within a large firm.
  • Ability to communicate with attorneys and support staff on every level.
  • Punctual with excellent attendance.
  • High School diploma or equivalent required.

Nice To Haves

  • Experience with labor and employment law is a plus.
  • Experience with law firm software including billing, expense, and document management is a plus.
  • 4-year college degree preferred.

Responsibilities

  • Drafting/revision of correspondence, pleadings, and documents.
  • E-filing legal documents.
  • Conducting legal research.
  • Editing and formatting documents, including advanced functions like Table of Contents (TOC) and Table of Authorities (TOA).
  • Proofreading documents with excellent attention to detail.
  • Maintaining attorney calendars.
  • Managing attorney expenses.
  • Submitting invoices.
  • Making travel arrangements.
  • Engaging in the work of the attorney by demonstrating knowledge and status of current cases and projects.
  • Providing support for four or more attorneys in employment law matters and backup support as needed.
  • Interacting with internal departments, outside agencies, vendors, and clients.
  • Handling a wide variety of complex and confidential time-sensitive material.
  • Working with teams to complete conflict checks and open new client engagements.
  • Assisting with billing review, inquiries, and collections.
  • Maintaining docketing for litigation attorneys.
  • Maintaining calendars, CLE, reports, and time records.
  • Booking and organizing travel arrangements as needed.
  • Assisting with expense reimbursement.
  • Various office and client filing.
  • Performing other office administrative functions as needed.
