About The Position

The Front Office Administrator / Certified Medical Assistant plays a dual role in supporting both the administrative and clinical functions of the practice. This position is responsible for managing front desk operations while also assisting clinical staff with patient care activities. The role requires a balance of strong organizational skills, patient engagement, and the ability to transition seamlessly between administrative and clinical responsibilities. By creating an efficient and welcoming environment, this position helps ensure a high-quality patient experience and supports overall practice performance.

Requirements

  • High school diploma or equivalent
  • 1+ year of experience in a medical office, administrative, or customer service role
  • Basic understanding of medical terminology
  • Ability to multitask in a fast-paced environment
  • Strong communication skills with the ability to engage patients in a professional and supportive manner
  • Ability to balance administrative and clinical responsibilities efficiently
  • High level of organization and attention to detail
  • Familiarity with healthcare regulations and patient privacy standards
  • Comfort working in a fast-paced, team-oriented environment

Nice To Haves

  • Medical Assistant certification (CMA, RMA, or equivalent) or relevant clinical experience
  • Experience with electronic health record (EHR) systems
  • Previous experience in a physician office or behavioral health setting

Responsibilities

  • Greet patients and create a welcoming, professional environment
  • Schedule appointments, manage cancellations, and coordinate follow-ups
  • Answer incoming calls and respond to patient inquiries in a timely manner
  • Verify patient demographics, insurance, and required documentation
  • Maintain accurate patient records and ensure compliance with privacy regulations
  • Support overall front office workflow and patient flow
  • Prepare patients for visits, including rooming and obtaining vital signs
  • Document patient information, histories, and visit details in the EHR
  • Assist providers with basic clinical tasks and procedures as needed
  • Manage patient intake and ensure all required documentation is completed
  • Support prescription refill requests and prior authorizations as directed
  • Maintain exam rooms, supplies, and clinical equipment
