About The Position

The Administrative Assistant serves as a primary point of contact for patients coming for Rehab Services (Physical, Occupational, and Speech Therapy) needs. This role is responsible for delivering excellent customer service by professionally handling incoming calls, scheduling appointments, addressing patient inquires, obtaining and verifying insurance authorizations, support and collaborating with the clinical therapist team. The Administrative Assistant plays a critical role in ensuring a positive patient experience while maintaining accuracy, confidentiality, and efficiently in a fast-paced therapy environment.

Requirements

  • Minimum of one year of previous experience as a Medical Administrative Assistant/Secretary in a healthcare practice (therapy/rehab dept, physicians practice or other clinic environment).
  • Excellent communication, organization and multitasking skills.
  • Proficient in EMR systems, scheduling software.
  • Strong attention to detail.
  • Ability to work as team member in a fast-paced, patient focused environment.
  • High school diploma or equivalent.

Nice To Haves

  • Knowledge of insurance processes, benefit verification, and therapy authorization requirements strongly preferred.
  • Knowledge of medical terminology, understanding of rehab services strongly preferred.
  • Previous experience scheduling patient appointments and managing high call volume.
  • Experience with verifying insurance eligibility, obtaining authorizations, or handling referrals.
  • Strong customer service skills, active listening, and problem-solving skills.
  • Ability to multitask, prioritize effectively, and work efficiently in a fast-paced environment.
