About The Position

INH Properties is a rapidly growing full-service real estate company that excels in property management and real estate development for multifamily apartment communities. INH Properties has been in business for over 40 years and currently manages 8,000+ units across Minnesota and Iowa. INH Property Management is seeking a full-time Administrative Assistant - Front Desk to join the team. The ideal candidate will provide administrative support for daily operations, ensuring efficient office management, client communication, and property-related tasks. In addition, because you’ll be the initial contact for customers and clients, to have excellent customer service skills, and be a problem-solver.

Requirements

  • High school diploma or equivalent.
  • Previous administrative assistant or receptionist experience, preferably in property management or real estate.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with property management software (Yardi).
  • Excellent Customer Service and Time Management skills.
  • Ability to take initiative and to problem solve.
  • Strong organizational and attention-to-detail skills, with the ability to effectively prioritize and manage multiple tasks simultaneously.
  • Ability to work independently and in a team setting.

Nice To Haves

  • Associate or bachelor’s degree in business administration, real estate, or a related field is a plus.

Responsibilities

  • Greet visitors, determine purpose of visit, and direct them appropriately
  • Answer, screen, and transfer incoming calls
  • Collect, sort, and distribute mail and deliveries
  • Order, track, and manage office supplies
  • Submit rental verifications
  • Provide administrative assistance to the Property Manager, ensuring smooth day-to-day operations of the property management office.
  • Handle tenant inquiries via phone, email, and in-person, addressing concerns or directing them to the appropriate department or person.
  • Record and follow up on maintenance requests, ensuring timely resolution and ensuring tenants and contractors are kept informed.
  • Assist with invoicing and payment tracking, including rent collection, account reconciliations, and processing vendor payments.
  • Maintain organized files for all property-related documents, including tenant files, lease agreements, maintenance records, and financial reports.
  • Assist in scheduling property inspections, showings for prospective tenants, and move-in/move-out coordination.
  • Input data related to leasing activity, tenant status, and property conditions into property management software.
