About The Position

The Office Specialist (part-time 12 to 15 hours per week) provides administrative support to ensure the efficient daily operation of the Early Intervention Program. This position supports referral processing, scheduling, insurance verification, billing functions, and general office operations. The Office Specialist must maintain confidentiality, demonstrate strong organizational skills, and work collaboratively as part of a multidisciplinary team serving infants, toddlers, and their families.

Requirements

  • Associate’s degree required.
  • General knowledge and experience in office administration and procedures.
  • General understanding of medical insurance plans, eligibility requirements, insurance verification processes.
  • Proficiency in Microsoft Office Suite, including: Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft Teams.
  • Experience utilizing electronic medical records (EMR) and approved electronic record systems.
  • Excellent verbal, written, organizational, and customer service skills.
  • Maintain appropriate professional boundaries, promote client confidentiality and exhibit flexibility, sensitivity to cultural differences, and teamwork.
  • Ability to work independently while collaborating effectively within a team environment.
  • Demonstrate flexibility, professionalism, cultural sensitivity, and the ability to maintain appropriate professional boundaries.
  • Ability to solve problems, make recommendations, and implement solutions.

Nice To Haves

  • Bilingual (Spanish, Portuguese, Haitian Creole, Khmer) preferred.
  • Knowledge of Early Intervention services and Massachusetts Early Intervention regulations and Department of Public Health (DPH) preferred.
  • General knowledge of Medicaid/MassHealth.

Responsibilities

  • Cross-train and provide coverage in key administrative functions, including referral processing, scheduling, insurance verification, billing support, and front office operations.
  • Assist with special projects, reports, and data tracking as assigned.
  • Participate in administrative team meetings, training, and quality improvement initiatives.
  • Provide office coverage as needed.
  • Maintain accurate correspondence and client records.
  • Support daily office operations and administrative functions.
  • Maintain confidentiality of all client, employee, and agency information in accordance with HIPAA and agency policies.
  • Runs MassHealth 270/271 reports on a weekly basis. Reviews for insurance changes and runs insurance eligibility.
  • Perform other duties as assigned by the Program Director, Program Operations Manager, or Clinical Coordinator.
