About The Position

Lilac Health Asheville Birth and Wellness Center is a CABC accredited birth center dedicated to providing exceptional maternity, women’s health, and gynecology care through the full scope of the Midwifery Model of Care. Our mission is to create a safe, convenient, and comfortable experience for all. This position serves as an administrative intermediary among clinical staff, the director, and clients, requiring proficiency in multitasking for the seamless operation of the front office, reception area, lab, and exam rooms. Exceptional verbal and written communication skills are essential. The role involves providing high-quality client care by supporting the professional staff and aligning job performance with the mission of Asheville Birth and Wellness Center.

Requirements

  • Proficiency in multitasking is crucial for maintaining the seamless operation of the front office, reception area, lab, and exam rooms.
  • Exceptional verbal and written communication skills are required to effectively perform assigned duties.
  • Medical Assistant certification OR willingness to complete certification
  • Familiarity with medical terminology and ICD 10 codes
  • Completion of required HIPAA/OSHA training
  • Ability to communicate well both orally and verbally with staff and patients
  • Ability to work well in stressful situations with all types of patients
  • Ability to anticipate needs of CNM, patient and family

Responsibilities

  • Handle all phone conversations in a courteous and friendly manner.
  • Record messages accurately, screen calls as requested, and inform staff of messages in a timely manner.
  • Provide client information for questions related to her care.
  • Register all new clients according to ABWC procedure.
  • Inquire about any changes of address, phone number, insurance, or Medicaid status of each client.
  • Develop and maintain all forms needed for the registration process.
  • Arrange and collect invoice payments and create payment plans as needed.
  • Manage and maintain medical records, keeping records filed properly in EHR and all forms needed for them.
  • Keep an adequate supply of paper records request/referrals for midwives to have available on hand.
  • Pull records as requested for appointments, labs, referrals, etc.
  • Coordinate with the Billing Company and the Director to provide and collect all necessary information for billing purposes.
  • Collect insurance information from each client and arrange for a VOB to be completed with the billing company in accordance with ABWC guidelines.
  • Collect all payments and complete payment log and bank deposit according to ABWC policies.
  • Refer any problems regarding billing to the Director.
  • Communicate with the Director to ensure that all necessary information is gathered and reported correctly.
  • Complete tasks in a timely manner that are necessary for the billing process to be done accurately and efficiently.
  • Make patient appointments according to midwives' schedule.
  • Report follow-up on all no-shows daily, enter these into the patient’s EHR and update as a cause. Inform Director of no shows.
  • Provide guidance and assistance to clinical staff to prepare all labs for transport, including spinning them down as directed in centrifuge, labeling, placing order and specimens in bag, and place in box outside.
  • Direct all lab results received to the CNM for review and upload to EHR.
  • Assist clinical staff in stocking and prepping of exam rooms, as needed in accordance with CNM instructions.
  • Maintain strict confidentiality in and out of office in accordance with HIPPA regulations.
  • Adhere to Bloodborne Pathogens Standard in the execution of tasks at the birth center.
  • Participate in various department and staff meetings and events as requested.
  • Work with clinical and administrative staff to ensure that the birth center operates efficiently and professionally.
  • Maintain neat and pleasant entry in waiting room area.
  • Maintain adult CPR certification.
  • Prepare exam rooms and assist providers during appointments.
  • Perform lab draws and other clinical testing.
  • Create lab requisitions.
  • Maintain clinic inventory.
  • Assist with timely input of perinatal data registry.
  • Clean exam rooms following appointments.
  • Re-stock exam rooms with all necessary supplies daily.
  • Take out all trash from facility as needed.
  • Provides direct patient care according to approved policy and procedures.
  • Provides educational, emotional, and physical support to patients and families.
  • Maintains an effective communication link with patients, families, and staff.
  • Works collaboratively with outside agencies to provide care to patients. Is familiar with referral agencies and their services.
  • Shares ideas with supervisor to improve the efficiency and care provided in the birth center.
  • Shares in the duties to maintain cleanliness and orderliness of the birth center.
  • Attends and participates in meetings as needed or requested by supervisor.
  • Attends a minimum of 3 of the quarterly emergency drills annually and 2 fire/disaster drills annually.
  • Participates in continuous quality improvement activities.
  • Assists with other duties during office hours as patient needs allow, including assisting with office flow, answering phones and scheduling clients.
  • Performs other tasks as directed by the supervisor.
