The Program Administrator plays a critical role in supporting the success of CFUF’s Economic Success and Family Stability programs by coordinating operations, communications, and reporting across program teams. This position serves as a central point of contact for program engagement, ensuring alignment, collaboration, and timely execution of key initiatives. Blending project coordination, administrative leadership, and cross-functional collaboration, the Program Administrator helps drive program efficiency, supports compliance and reporting efforts, and strengthens relationships with internal and external stakeholders. This role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced, mission-driven environment.

Requirements

  • Bachelor’s degree preferred; equivalent experience will be considered
  • Minimum of 3 years of experience in an administrative, program coordination, or operations role
  • Experience working with underserved or disadvantaged populations in workforce development or human services settings preferred
  • Strong organizational and project coordination skills with the ability to manage multiple priorities
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) required
  • Experience with data tracking systems or electronic databases (e.g., ETO, Apricot) preferred
  • Basic knowledge of budget tracking or financial processes a plus
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong written and verbal communication skills

Responsibilities

  • Serve as the operational project manager for program events, outreach efforts, and cross-team initiatives
  • Coordinate logistics and collaboration across Economic Success and Family Stability programs to ensure seamless execution
  • Record and publish meeting minutes within 24 hours, including key decisions, action items, and deadlines
  • Develop and maintain a comprehensive Programs Team calendar, including grant reporting deadlines, renewals, program events, and key milestones
  • Manage communications with stakeholders, including funders, community partners, and organizational contacts
  • Draft and send correspondence on behalf of the Director of Programs, including invitations, follow-ups, and updates
  • Serve as the administrative lead for internal and external audits, including compiling and organizing required documentation
  • Act as liaison to the Grants Compliance Manager by coordinating documentation and ensuring submission readiness
  • Maintain accurate and up-to-date program records, both electronically and in hard copy
  • Support account management tracking and ensure all activities are properly documented
  • Participate in team meetings and contribute to program strategy development and continuous improvement efforts
  • Support DHS and SNAP E&T activities, including tracking deliverables and maintaining accurate time and effort reporting
  • Coordinate program-related staff events and team engagements in collaboration with operations staff
  • Work collaboratively across teams to support positive member outcomes
  • Perform additional administrative and project-based duties as assigned
