About The Position

This role supports the Senior Vice President of Global Research & Consulting and the Senior Vice President of Consumer Interactive within the US Markets Business Group. The Executive Administrative Assistant helps both leaders and their teams operate effectively by coordinating priorities, communications, meetings and administrative processes across on-site and remote stakeholders in multiple continents and time zones. This is a hybrid position and involves regular performance of job responsibilities virtually as well as in-person at an assigned TU office location for a minimum of two days a week.

Requirements

  • At least 7 years of experience providing administrative support to C-level executives, with demonstrated success managing complex schedules, priorities and confidential matters.
  • Experience coordinating a wide range of projects and developing and managing milestone schedules and timelines, supported by strong organization, documentation and communication skills.
  • Experience compiling, summarizing and reporting data, including mathematical aptitude and report-compilation skills; consistent attention to detail is essential.
  • Experience building effective working relationships with on-site and remote staff across multiple continents and time zones, including the ability to participate in meetings or respond to correspondence outside normal working hours.
  • High school diploma or equivalent required.
  • Advanced proficiency with Microsoft Outlook, Teams, Word, PowerPoint and Excel.
  • Advanced calendar, email and virtual-meeting coordination using Microsoft Outlook, Teams and Zoom.
  • Ability to compile, summarize and report data using Excel-based tools.
  • Ability to prepare polished presentations, correspondence, meeting materials and executive reports using Microsoft PowerPoint and Word.
  • Applicants must be authorized to work in the United States on a full-time basis without the need for employer support or sponsorship now or in the future.

Responsibilities

  • Optimize the executives’ time by prioritizing daily workflow and contacts, anticipating meeting needs and independently scheduling appointments without prior clearance.
  • Coordinate complex domestic and international travel, including detailed itineraries, travel documents, passport renewals and visas; may travel domestically to support leadership meetings.
  • Prepare weekly expense reports, reconcile corporate credit card accounts and maintain accurate documentation related to departmental budgets and staff administration.
  • Plan and communicate department and leadership meetings, prepare agendas and materials, keep meetings on schedule and follow up on action items and project status.
  • Collect, organize, prioritize and summarize information for executive discussions, outside meetings, special requests, inquiries and one-time or recurring reports.
  • Anticipate and compile materials for conferences and meetings, handling highly confidential, sensitive and critical information with discretion and integrity.
  • Review correspondence and materials for typographical accuracy, format, procedural compliance, internal consistency and required approvals before release.
  • Coordinate procurement processes between external vendors and the TransUnion procurement group.
  • In an executive’s absence, use independent judgment to route requests, issues, complaints, problems and other action items to the appropriate manager for timely response.
  • Perform additional administrative duties as assigned while adapting quickly to changing priorities in a fast-paced environment.
