About The Position

Requirements

• High school diploma or equivalent required
• 2 years QuickBooks experience
• Computer proficiency (Excel, MS Office Suite, Adobe Acrobat)
• Strong professional integrity and people skills
• Excellent organization and attention to detail
• Problem-solving and independent follow-through
• Strong written and verbal communication
• Time management and ability to meet deadlines

Nice To Haves

• Associate’s or Bachelor’s in Business/Finance preferred
• Experience in accounting, bookkeeping, office administration, or job costing preferred
• Experience with CRM or project management software
• Spanish language skills
• Understanding of job costing, construction billing, or vendor management
• Background in construction or service-based businesses helpful

Responsibilities

• Process external/internal invoices and ACH payments accurately
• Ensure integrity of outgoing payments and cash flow
• Request W9s and documentation for authorized payments
• Resolve vendor statement or invoice issues promptly
• Process weekly payments for subcontractors
• Receive and record all payments (cash, checks, credit cards, ACH)
• Daily deposits
• Generate bi-weekly statements for customers
• Provide excellent customer service for past-due accounts
• Record inventory journal entries
• Handle financing payments
• Filing and mail assistance
• Assist with phone coverage as needed
• Assist with invoicing & payroll related administrative preparation as needed
• Data entry for expenses
• Other duties as assigned by Head of Finance
