About The Position

Hayward Holdings Inc. is seeking an Event Marketing Specialist to plan, coordinate, and execute marketing events, from national trade shows to customer gatherings. This role requires strong project management, vendor coordination, and budget oversight skills, with a passion for delivering outstanding customer experiences. The specialist will support event logistics, collaborate with internal teams and external partners, and manage event-related documentation and systems. This position is based in Clemmons, NC.

Requirements

  • 2–4 years of experience in event planning, marketing, or a related area.
  • Strong organizational skills with a high level of attention to detail.
  • Effective written and verbal communication skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Team-oriented mindset with a willingness to learn and grow.
  • Comfortable using tools such as Microsoft Teams, SharePoint, Excel, and project management platforms.
  • Ability to travel as needed for events including holidays, evenings and weekends.

Nice To Haves

  • Associate or bachelor’s degree in marketing, communications, hospitality, or a related field preferred.

Responsibilities

  • Support the planning and execution of trade shows and events, including logistics such as shipping, event materials, signage, and other related event assets.
  • Assist with event preparation by tracking timelines, organizing materials, and ensuring deadlines are met.
  • Provide on-site support at trade shows, conferences, and customer events, including setup, breakdown, and on-site coordination.
  • Coordinate with the Senior Event Specialist and Events Manager on event planning and logistics to support successful execution.
  • Assist the Senior Event Specialist and exhibitor house with exhibitor logistics and exhibitor manuals.
  • Work closely with the Senior Event Specialist, internal teams, vendors, and external partners to support event execution.
  • Assist in coordinating plant tours, customer events, and other industry events.
  • Collaborate with creative and digital teams to ensure requests for graphics and digital assets are submitted on time and aligned with event timelines.
  • Maintain and update the event calendar, ensuring key milestones and deadlines are tracked.
  • Support logistics across multiple events, including travel coordination, shipments, and vendor communication.
  • Support day-to-day project management tasks, including tracking timelines, deliverables, and action items.
  • Maintain organized digital files and documentation within Microsoft Teams and SharePoint.
  • Ensure all event-related folders, assets, and files are up to date, clearly labeled, and easily accessible.
  • Assist in creating and maintaining standardized folders, templates, and documentation for event processes.
  • Actively use company systems to support project management and event execution, including Basecamp, Teams Lists, Lytho, Excel, PowerPoint, and Cvent.
  • Coordinate with hotels and venues to manage rooming lists, logistics, and attendee needs.
  • Review and maintain attendee and registration lists to ensure accuracy and completeness.
  • Ensure all event registrations are properly registered and tracked across event systems and documentation.
  • Support attendee management to help ensure a smooth and organized event experience.
