Administrative Supervisor - Anesthesiology

About The Position

The Department of Anesthesiology at the UW-Madison School of Medicine & Public Health is seeking an Administrative Supervisor to lead and manage administrative assistants across various administrative services, including faculty development, recruitment, and general administrative support. The Administrative Supervisor will report to the Associate Department Administrator and will be responsible for supervising administrative assistants, providing support to faculty and staff, and managing day-to-day operational tasks. This role offers an opportunity for a strong communicator, detail-oriented and organized leader to promote an inclusive and collaborative culture, identify and implement process improvements, and create training and development opportunities for the administrative assistants. This position requires work to be performed in-person, onsite, at a designated campus work location, with some possibility of remote work at an offsite, non-campus location.

Requirements

  • Demonstrated experience training team members or colleagues on administrative duties
  • Demonstrated experience managing process improvement or change management initiatives
  • Customer focused for external and internal stakeholders
  • Evidence of strong project management skills
  • Demonstrated ability to work independently and in a team setting to establish and maintain effective working relationships
  • Demonstrated ability to prioritize workload, manage multiple projects and deadlines effectively, and follow-through on tasks and work unsupervised
  • Continuous work eligibility in the United States

Nice To Haves

  • Strong verbal and written communication skills
  • Familiarity with Workday, UW-Madison, and the School of Medicine & Public Health administrative procedures is highly desirable
  • Prior supervisory/management experience
  • Experience working with medical professionals and career promotions requirements within an academic medical center
  • A minimum of two years of experience supervising others, strongly preferred
  • Familiarity with UW-Madison and the School of Medicine & Public Health human resources, faculty affairs and faculty development, educational management systems, research administration systems, purchasing systems, and policies and procedures is highly desirable
  • Experience with Qgenda
  • Experience with EMR (such as Epic)
  • Demonstrated ability to work effectively with physicians

Responsibilities

  • Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • Assists, recommends, and advises staff, on unit or program administrative issues, personnel matters, and budgetary problems
  • Develops, schedules, and prioritizes unit or program work plans in accordance with specifications and resource limitations
  • Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
