About The Position

The Physical Therapy and Dietetics Clinical Coordinator is responsible for the identification, affiliation, and maintenance of relationships with our clinical affiliates in cooperation with the academic component administrators and the Directors of Clinical Education and Dietetic Internship. The position manages the creation of clinical documentation as directed by the Directors and the component administrators and manages routine communications with clinical agency representatives who offer placements to the graduate students. Work is performed under general supervision and performance is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

Requirements

  • Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.
  • All employees share the responsibility of maintaining information security and privacy requirements within the university by adhering to Federal and State regulations, and TWU Policies & Procedures.
  • Ability to effectively communicate both orally in person and by telephone, and in writing.
  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
  • Ability to communicate effectively orally, by phone, in person, and in writing.
  • Ability to use a personal computer and other office equipment, including university related software and email.

Nice To Haves

  • Master’s degree in higher education administration is preferred.
  • Four years’ experience in administrative support preferred.

Responsibilities

  • Collaborating with campus component administrators (associate director and chair) and Director of Clinical Education and Dietetic Internship to identify clinical needs across the three TWU DPT and two TWU dietetic internship programs.
  • Securing community and institutional clinical sites through collaboration with campus component administers and the Directors and faculty to evaluate sites, obtain data on sites, and initiate/maintain a request for current clinical contract with the site.
  • Management of clinical databases.
  • Collaborating with staff in the office of the Dean and Legal Counsel to finalize clinical affiliation agreements.
  • Maintaining ongoing communications with representatives from clinical affiliates regarding student placement changes; pre-clinical requirement changes; or any other pertinent information affecting placement of students at the facility.
  • Collaborating with the Directors of Clinical Education to implement process for the documentation of credentials required for clinical placement of faculty, preceptors and students.
  • Collaborating with campus component administers and the Directors in development and implementation of the collection of clinical evaluation data, including satisfaction and effectiveness of preceptor orientation.
  • Representing the School of Physical Therapy and Department of Nutrition and Food Sciences in meetings and other events related to clinical agency affiliations and student placements.
  • Collaborating with the Directors in the development and implementation of activities designed to recognize and/or reward clinical agencies.
  • Providing reports of clinical affiliation and student placement data as requested by the campus component administers and the Directors.
  • Confirming onboarding procedures with each site.
  • Learning new procedures at an average of 10 sites per year.
  • Ensuring CPR cards, immunizations, and background checks are clean and up to date.
  • Communicating with interns and sites about onboarding, including uploading documentation and then logging what was done on shared documents with the directors.
  • Checking accuracy of evaluation data entered in Trackers or assisting with putting all current competency tracking information into Competency AI.
  • Checking evaluations for preceptors and interns are present and then communicating with preceptors.
  • Sending competencies, evaluation materials and date reminders to each preceptor at least 1 month before rotations.
  • Performs other duties as requested.
