About The Position

This position will directly support the leadership team with a wide range of administrative and office support responsibilities. This role serves as a primary point of contact for incoming calls, visitors, and meeting coordination while helping maintain a professional and organized office environment.

Requirements

  • Associates degree or previous administrative experience preferred, with 1–3 years of office or administrative support experience strongly preferred.
  • Requires a basic understanding of GMP’s, HACCP and SQF guidelines.
  • High proficiency in MS Office Suite skills (Word, Excel and PowerPoint).
  • Excellent written and oral communication/interpersonal skills.
  • Professional phone etiquette and ability to interact with visitors, vendors, employees, and leadership in a professional manner.
  • Ability to read and write English. Ability to read a limited number of two and three syllable words and to recognize similarities and differences between words and between series of numbers. Ability to print and speak simple sentences.
  • Ability to collaborate as part of a team and support multiple departments and leaders.
  • Highly motivated and action oriented, with demonstrated ability to effectively organize tasks, manage time, set priorities and meet deadlines.
  • Demonstrated problem solving skills and ability to handle changing priorities throughout the day.
  • Strong organizational skills and attention to detail.
  • Proven competency in the following areas: Action Orientation, Listening, Informing, Customer Service, and Professional Communication.
  • Ability to maintain confidentiality and handle sensitive information appropriately.

Responsibilities

  • Answers and directs incoming phone calls in a professional and timely manner.
  • Greets and assists visitors, vendors, applicants, and employees entering the office.
  • Coordinates conference room scheduling, setup, and cleanup for meetings and events.
  • Assists with planning and coordinating meeting lunches, team events, and office gatherings.
  • Maintains office organization, supplies, and general administrative support for leadership team members.
  • Supports leadership team with calendar coordination, document preparation, filing, and communication needs.
  • Assists with creation and distribution of company communications, flyers, and administrative documents.
  • Maintains vendor and visitor relationships with a high degree of customer service and professionalism.
  • Supports administrative tasks such as badge requests, office coordination, mail distribution, and record management.
  • Interfaces with all departments and different levels of employees while assisting with questions and general office support.
  • Assists other departments when required.
  • Light travel to other locations may be required on occasion.
  • Takes responsibility of work area to produce a safe and quality food product. Reports all food safety related problems to your manager and to the QA dept in order to initiate immediate action.
