About The Position
Overall Goal of Position:Ensure timely, accurate and compliant processing of vendor payments. Job Summary: The Accounts Payable Specialist is responsible for processing vendor invoices and payments, resolving discrepancies, maintaining vendor records, and supporting month-end close and audit activities. This position reports to the Accounts Payable Manager.
Requirements
- High School Diploma or GED equivalent required, college level accounting classes or Accounting Degree preferred.
- A minimum of 3 years’ experience with accounting relevant experience
- Strong attention to detail and accuracy
- Knowledge of accounts payable processes and general accounting principles
- Experience with ERP systems (e.g., SAP, Oracle, PeopleSoft)
- Experience with AP automation systems (e.g. Medius)
- Ability to manage priorities and meet deadlines in a high‑volume environment
- Professional communication and problem‑solving skills
Responsibilities
- Receive, review, and process vendor invoices accurately and timely.
- Verify invoices for accuracy, proper authorization, and supporting documentation
- Perform two‑way and three‑way matching (invoice, PO, receiving) as applicable
- Maintain accurate and up‑to‑date vendor master records
- Respond to vendor inquiries regarding invoice status, payment timing, and discrepancies
- Support vendor onboarding, including tax documentation (e.g., W‑9 collection)
- Adhere to internal accounting policies, approval limits, and segregation of duties
- Support compliance with SOX and internal audit requirements
- Assist with special projects and ad hoc analysis as assigned by management
- Maintain proper documentation and audit trails for all AP transactions
