Project Manager, QGenda Implementation

Medical University of South CarolinaCharleston, SC
Hybrid

About The Position

University Medical Associates (UMA) is seeking a Project Manager to lead the end-to-end implementation of QGenda across MUSC Community Physicians. This role involves planning, execution, go-live, and stabilization of the QGenda system. The Project Manager will coordinate cross-functional teams, manage project plans, timelines, and deliverables, and ensure alignment with organizational goals. Key responsibilities include stakeholder engagement, system implementation and coordination, change management, and risk management. Success in this role means a successful, on-time rollout of QGenda, high user adoption, standardized scheduling workflows, minimal disruption to clinical operations, and clear visibility into scheduling and utilization post-implementation. This role also serves as a pathway to a long-term ownership of QGenda within MUSC Community Physicians, potentially transitioning into a Senior Analyst role.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience
  • 3–5+ years experience, preferably in healthcare leadership, operations, project management, or systems implementation
  • Proven ability to lead complex, cross-functional projects with multiple stakeholders
  • Strong organizational, communication, and leadership skills
  • Experience managing timelines, risks, and deliverables in a structured project environment
  • 5 years for support or 0-2 years for professional (Note: This seems to contradict the 3-5+ years requirement, but is included as stated in the text)

Nice To Haves

  • Experience with healthcare scheduling systems (QGenda strongly preferred; Amion, Kronos, Shift Admin, etc. also relevant)
  • Experience with electronic health record systems (Epic preferred)
  • Familiarity with provider scheduling, ambulatory operations, or clinical workflows
  • Experience with large-scale system implementations or digital transformations
  • Experience with data reporting or analytics tools (e.g., Excel, Power BI)

Responsibilities

  • Lead end-to-end implementation of QGenda across MUSC Community Physicians, from planning through go-live and stabilization.
  • Develop and manage detailed project plans, timelines, milestones, and deliverables.
  • Coordinate cross-functional teams including operations, clinical leadership, and system administrators.
  • Track progress, manage dependencies, and ensure alignment with organizational goals.
  • Provide regular status updates to stakeholders and executive leadership.
  • Serve as the primary point of contact for implementation efforts across multiple departments and sites.
  • Partner with physician leaders, administrators, and schedulers to understand operational needs and align system design.
  • Facilitate meetings, working sessions, and decision-making forums.
  • Communicate project updates, risks, and changes clearly and proactively.
  • Collaborate with QGenda system administrators and analysts to support system configuration, scheduling templates, and workflows.
  • Ensure consistency and standardization of scheduling practices where appropriate, while accommodating operational nuances.
  • Oversee data migration, validation, and system testing efforts.
  • Coordinate go-live planning, including readiness assessments and support structures.
  • Develop and execute change management strategies to support adoption across diverse user groups.
  • Identify potential resistance points and proactively address adoption challenges.
  • Partner with training teams to ensure effective onboarding, education, and support materials.
  • Promote best practices and standardized workflows across the organization.
  • Identify project risks, barriers, and dependencies early and develop mitigation strategies.
  • Escalate issues appropriately and drive resolution in a timely manner.
  • Adapt project plans in response to evolving organizational priorities or constraints.
  • Support post-go-live stabilization and issue resolution.
  • Gather feedback from users and stakeholders to identify improvement opportunities.
  • Partner with analytics and operations teams to evaluate system effectiveness and clinic utilization outcomes.
  • Transition ongoing support and ownership to operational and system administration teams.
