About The Position

The Workplace Experience Coordinator serves as the primary point of contact for employees, visitors, and vendors entering the facility, ensuring a welcoming, safe, and well-organized environment. This role combines front-desk reception, customer service, administrative support, and coordination of workplace services and events to create a positive and efficient workplace experience.

Requirements

  • High School Diploma or GED.
  • Up to 2 years of job-related experience in customer service, administrative support, or a similar role.
  • Ability to follow basic work routines, standards, and established procedures consistently.
  • Effective communication skills to exchange straightforward information with employees, visitors, vendors, and team members.
  • Working knowledge of Microsoft Office products, including Word, Excel, and Outlook.
  • Strong organizational skills to manage multiple tasks, events, and service requests.
  • Inquisitive mindset with a willingness to learn and understand workplace processes and procedures.
  • Customer service skills with a professional and service-oriented approach.

Nice To Haves

  • Experience providing customer service in an office, facilities, or front-desk environment.
  • Experience in administrative support, including handling mail, office supplies, and basic office coordination.
  • Comfort speaking to groups of various sizes and preparing basic presentations.
  • Ability to coordinate with vendors and internal stakeholders to support events and workplace services.
  • Attention to detail when following security, safety, and emergency procedures.

Responsibilities

  • Serve as the first point of contact for all individuals entering the facility, greeting them with a friendly and professional demeanor.
  • Issue visitor badges and parking passes while strictly following established security protocols.
  • Answer incoming telephone calls in a professional manner and create a positive first impression for callers.
  • Prepare and deliver presentations, and speak confidently to groups of various sizes as needed.
  • Arrange and confirm recreational, dining, and business activities on behalf of internal requestors.
  • Manage janitorial and maintenance work orders, ensuring timely follow-up and completion of tasks.
  • Coordinate and execute workplace services such as mail handling, office supply services, and onboarding support for new employees.
  • Acknowledge and respond to inquiries or complaints from employees, guests, and co-workers, providing solutions in a professional, customer service-focused manner.
  • Organize and manage on-site events, including securing event space, coordinating logistics, and overseeing room setup and tear down.
  • Arrange for the delivery of supplies and materials needed for meetings, events, and daily office operations.
  • Follow property-specific security and emergency procedures and promptly notify appropriate parties to help ensure the safety of all individuals in the building.
  • Coordinate with external vendors who provide services or goods to the workplace, supporting smooth and reliable service delivery.
  • Explain detailed or complex information clearly within the team and follow specific directions provided by leadership.
  • Use established procedures and clearly defined methods to complete daily tasks and solve straightforward problems, with limited discretion.
  • Support general office upkeep by resetting chairs, wiping surfaces, and ensuring common areas remain tidy and presentable.
  • Provide general administrative assistance and customer service support across the workplace as needed.
