About The Position

The Office of the Municipal Public Defender (OMPD) has an exciting opportunity available as an Administrative Support Assistant III for Youth Programs. The Administrative Assistant will work in the Youth Courtroom, working directly with the assigned attorney and Client Support Team members. This position will work both in the office, the community and the courtroom. They will input and access routine information, greet visitors, answers telephones, routes callers, takes messages, and refers problems to the appropriate person(s) for resolution. They will also receive, sorts, and deliver mail and other items. This position will also assist with general administrative duties in the Office of the Municipal Public Defender. We are looking for a driven individual who is passionate about criminal justice and the communities the Municipal Public Defender supports.

Requirements

  • Graduation from high school or the possession of a GED, HiSET or TASC Certificate.
  • Two (2) years of clerical experience.
  • Proficient in the use of Microsoft Word, Excel and Outlook
  • Customer service experience, ability to work with diverse groups and communities
  • Ability to work under pressure
  • Data entry skills
  • Ability to learn Legal computer systems
  • High amount of attention to detail
  • Excellent verbal and written communication skills
  • Interest in working in a fast-paced environment

  • Bilingual or multilingual a plus

Responsibilities

  • Manage documentation and files for the Office of Municipal Public Defender
  • Input information/data and create reports as needed
  • Initial Discovery downloads and conflict inputs from the Police report.
  • Be the front desk receptionist and the face of the office
  • Provide the public with general and/or explanatory information; explaining and clarifying rules, processes, and procedures
  • Assist in the preparation of weekly docket
  • Ensure that all discovery is downloaded before office visits.
  • Collect, organize and develop reports from data relating to Youth representation
  • Help coordinate Youth meetings with Youth centered organizations
  • Perform other duties as assigned or requested
