About The Position

CTF Illinois is seeking a motivated and experienced professional to join our team as a Director of Fleet Administration in the Orland Park, IL area. In this role, you will oversee the administration of our statewide vehicle fleet, ensuring accurate fleet information, regulatory compliance, driver safety, vehicle availability, and efficient transportation operations.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Experience in fleet administration, transportation, asset management, or a related field.
  • Advanced Microsoft Excel skills, with the ability to analyze and organize large amounts of data, create reports, identify trends, and maintain accurate records.
  • Strong analytical and problem-solving skills with the ability to identify issues, determine root causes, and take appropriate action.
  • Strong communication, presentation, organizational, and leadership skills.
  • Ability to develop and effective safety training.
  • Demonstrated supervisory and leadership experience.
  • Ability to manage multiple priorities, work independently, and follow issues through to resolution.

Nice To Haves

  • Experience with Geotab, WEX, Enterprise, or similar fleet management systems preferred.
  • Experience with fleet compliance, audits, incidents, insurance claims, and regulatory requirements preferred.

Responsibilities

  • Oversee statewide fleet administration, including registrations, insurance, mileage, I-PASS, vehicle availability, and asset management.
  • Manage fleet systems, including Geotab, WEX, Enterprise, and related platforms, ensuring accurate and up-to-date vehicle and driver information.
  • Analyze fleet data, identify discrepancies and trends, determine root causes, and implement corrective actions.
  • Manage vehicle accidents, incidents, and insurance claims, including documentation, investigation, follow-up, and resolution.
  • Oversee driver safety and compliance, including required training, certifications, drug testing, physical exams, and incident reporting.
  • Develop and coordinate driver safety training and ensure required training and certifications are completed and documented.
  • Manage the PACE driving program, including driver certification, PINs, FOBs, and required records.
  • Ensure compliance with PACE, IDOT, RTA, and other applicable regulatory and grant requirements, including preparation for audits and completion of required IDOT maintenance forms.
  • Maintain and validate vehicle records, including licenses, mileage, inspections, maintenance documentation, and other required records.
  • Coordinate fleet-related services and validate service records, including recurring vehicle washing and other fleet needs.
  • Conduct quarterly travel to Charleston, Olney, and Lincoln, Illinois, to perform physical asset inspections and meet with staff and supervisors regarding transportation needs and operational issues.
  • Supervise 2–3 staff, including hiring, training, mentoring, and performance management.
  • Collaborate with HR, Finance, Client Programming, affiliates, vendors, governmental agencies, and other partners.
  • Lead regional transportation compliance meetings and provide support during transportation emergencies, including occasional after-hours assistance.
  • Travel statewide as needed.
