About the position
The Executive Assistant role at Alo provides essential administrative and organizational support to the CFO. This position plays a crucial part in ensuring the smooth operation of financial activities, maintaining effective communication among various offices, and facilitating efficient decision-making within the Finance team and across the organization. The responsibilities include managing calendars, preparing documents and reports, handling travel arrangements, serving as a liaison between executives and stakeholders, organizing meetings, managing information and expense reports, and providing project assistance. The ideal candidate should have proven experience in an executive assistant or administrative role, preferably within a finance or corporate environment.
Responsibilities
- Manage the CFO calendars, schedule meetings, and coordinate appointments.
- Prepare and organize documents, presentations, and reports for internal and external meetings.
- Handle travel arrangements, accommodations, and itineraries.
- Embrace technology and use company tools to accomplish tasks.
- Serve as a liaison between Finance executives and internal/external stakeholders, filtering and redirecting communications as needed.
- Respond to inquiries, emails, and phone calls in a timely and professional manner.
- Draft and proofread correspondence, memos, and other written communication.
- Attend meetings, take detailed minutes, and distribute meeting agendas and summaries.
- Compile relevant data and materials for meetings, ensuring executives are well-prepared.
- Follow up on action items and deadlines resulting from meetings.
- Organize and maintain electronic and physical filing systems for financial documents and records.
- Ensure the confidentiality and security of sensitive financial information.
- Track and manage expense reports, ensuring accuracy and adherence to company policies.
- Support special finance-related projects by collaborating with cross-functional teams to coordinate project-related activities.
- Prioritize and manage multiple tasks, deadlines, and responsibilities for the CFO.
- Proactively remind CFO of upcoming commitments and deadlines.
Requirements
- Bachelor's degree preferred
- Proven experience as an executive assistant or administrative role, preferably within a finance or corporate environment.
