Requirements

• Must successfully pass a criminal background check
• Must be at least 18 years of age
• Proficient in Adobe; DocuSign; Microsoft Word; Excel useful
• Communication, interpersonal, and organizational skills required
• Must be able to function independently but also work as a team member
• High School diploma or equivalent

Responsibilities

• Oversees the complete contract lifecycle, including draft, review, and management of License Agreements for events at the Caesars Superdome, Smoothie King Center, Champions Square, club XLIV, and The Shrine on Airline
• Reviews redlines and escalates to the appropriate department
• Maintains organization of the contract database and ensures all documents are current
• Collaborates with internal departments to align contract terms with company requirements
• Tracks and manages the return of all required documents (e.g., License Agreements, certificates of insurance) as well as deposits/payments as outlined before scheduled event dates
• Delivers all executed License Agreements to the General Manager via DocuSign for counter-execution
• Drafts Addenda as dictated by the event, followed by the above-outlined procedures
• Creates invoices, provides W-9s, and wiring instructions upon client request
• Creates other agreements and letters as necessary (i.e., Location Agreements, Authorization Letters)
• Assists Directors by reviewing third-party contracts as necessary
• Acts as the primary liaison between the company, its corporate insurance carrier, and the State of Louisiana Office of Risk Management
• Prepares and distributes Event sheets for public events booked at the Caesars Superdome, Smoothie King Center, and Champions Square as directed by the General Manager, Assistant General Manager, and Director of Sales
• Uploads Agreements, Addenda, insurance, and any other pertinent documents to our booking system and ensure booking system status is accurate
• Updates the Caesars Superdome and Smoothie King Center exclusive sponsorships list on a yearly basis and distributes to appropriate internal stakeholders
• Administers and facilitates the distribution of Legends New Orleans ticket requests for scheduled events
• Responsible for the maintenance of the contract database for the various venues as well as preparation of all License Agreements for all booked events at all venues.
• All other duties as assigned
