About The Position

At STEPS, we are committed to delivering compassionate and evidence-based Applied Behavior Analysis (ABA) therapy to children and families. Our team thrives on consistency, collaboration, and care - and we're looking for an experienced Staffing Coordinator to help us match the right professionals with the right clients, supporting both their growth and our mission. We are seeking a highly organized and proactive Staffing Coordinator with experience in ABA therapy staffing. In this role, you will manage caseload assignments, optimize staff schedules, and serve as a vital communication bridge between team members and families. This is a hybrid position , with a mix of remote work and in-office collaboration at our Pikesville, MD location.

Requirements

  • 2+ years of staffing coordination experience (ABA therapy strongly preferred)
  • Familiarity with ABA therapy roles and terminology (RBTs, BCBAs, caseload, session notes, etc.)
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication
  • Comfortable working with scheduling platforms and client management software
  • Ability to prioritize in a fast-paced, evolving environment
  • Positive attitude and team-focused mindset

Responsibilities

  • Coordinate staff schedules and client sessions across multiple locations and service areas
  • Ensure appropriate client-therapist matches based on skill, availability, and location
  • Collaborate with clinical and administrative teams to understand staffing needs and caseload requirements
  • Monitor staffing levels and proactively address gaps or scheduling challenges
  • Maintain accurate and up-to-date records using internal scheduling and case management systems
  • Communicate effectively with therapists, families, and supervisors to ensure smooth scheduling transitions
  • Support onboarding of new BCBA's as it relates to initial client placements
  • Track employee availability, PTO, and time-off requests in relation to client coverage
